General Purpose

Provide accurate, detailed, timelyconstruction phase services administrative support to internal and external clients as a member of the corporate marketing/administrative team in a fast-paced environment.

Tasks and Responsibilities

  1. Process all incoming and outgoing RFIs and Submittals to ensure fulfillment of client and contractual responsibilities, including follow-up on RFIs and Submittals to ensure that are being processed in a timely manner.
  2. Track client requirements for RFIs and Submittals.
  3. Escalate critical path items, discrepancies, and past-due items to ensure accurate and timely response.
  4. Provide training in responding to RFIs and Submittals to GHT staff.
  5. Run status reports for RFIs and Submittals.
  6. Provide administrative and phone support, as needed.

Education and Experience

  1. High school diploma, GED, or international equivalent + 2 years of directly related experience (GHT will accept equivalent combinations of education and experience).
  2. Working knowledge of RFI and Submittal process
  3. Workingknowledge of a variety administrative and clerical procedures.
  4. Solid working knowledge of Windows-based devices and software applications (Microsoft Word, Outlook, Excel). Preferred: Experience with construction and document management software (Newforma, ProCore, etc.)
  5. Knowledge of client service principles and practices.
  6. Accurately type 40 wpm.
  7. Work relatively independently with only occasional need for supervision.
  8. Manage a multi-line phone system using Teams.
  9. Communicate accurately, efficiently, and professionally in writing and verbally to internal and external clients.
  10. Handle routine conflicts professionally, getting assistance as needed from management.
  11. Take initiative to address potential issues and provide solutions.
  12. Effectively organize and prioritize work; plan work to accomplish key items on time.
  13. Prioritize work and information flow while seeking out missing information and attempting to resolve discrepancies and contradictory information.

Essential Functions (must be able to perform with or without reasonable accommodations)

  • See, hear and speak effectively, including distinguish colors and shapes.
  • Use hands and dexterity to handle and move objects (typically less than 10 pounds).
