Job Summary

The Procurement & Inventory Coordinatoris responsible for managing the procurement and repair process for inventory and repairable parts, ensuring timely turnaround, accurate documentation, and effective supplier coordination. This role supports parts room operations by processing repair orders, creating purchase orders, coordinating vendor communications, and maintaining inventory visibility. Unlike a traditional desk-based buyer position, this role requires regular physical movement of materials and inventory throughout the facility and involves both administrative and operational responsibilities.

Job Responsibilities



  • Process repairable items in accordance with approved inventory minimum and maximum levels.
  • Create purchase orders and submit them through the approval process.
  • Transmit approved purchase orders to suppliers and repair vendors.
  • Request Return Material Authorizations (RMAs) and coordinate repair documentation.
  • Prepare decontamination forms, shipping documentation, and repair-related paperwork.
  • Coordinate shipment of repairable items to approved vendors.
  • Track repair status and monitor vendor delivery commitments.
  • Work closely with suppliers to obtain accurate pricing, lead times, and delivery schedules.
  • Manage open purchase orders, repair orders, and outstanding liabilities.
  • Build and maintain positive relationships with customers, suppliers, and internal stakeholders.
  • Support inventory management and vendor-managed inventory (VMI) initiatives.
  • Contribute to cost reduction objectives, including purchase price variance (PPV) savings goals.
  • Maintain accurate procurement, repair, and inventory records.
  • Monitor inventory levels and assist with replenishment planning activities.
  • Move repairable parts between designated facility locations, including storage, inspection, approval, and shipping areas.
  • Ensure compliance with established procurement and inventory procedures.
  • Perform additional procurement and operational support duties as assigned.


Job Requirements



  • High School Diploma or GED required.
  • Bachelor's degree in Business, Supply Chain Management, Communications, Computer Science, or a related field preferred.
  • Proven experience in a buyer, procurement, purchasing, inventory, or supply chain role.
  • Strong customer service and relationship management skills.
  • Intermediate Microsoft Excel skills, including data analysis and reporting functions.
  • Strong mathematical and analytical abilities.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Familiarity with ERP systems and procurement software preferred.
  • SAP experience is a plus.
  • Ability to perform physical activities throughout the workday, including frequent walking, carrying, and moving materials.


Education



  • High School Diploma or GED required.
  • Bachelor's degree in Business, Supply Chain Management, Communications, Computer Science, or a related field preferred.


Work Experience



  • Previous experience in purchasing, procurement, buying, inventory management, or supply chain operations required.
  • Experience in a manufacturing, industrial, repair, maintenance, or distribution environment preferred.
  • Experience working with suppliers, vendors, and repair service providers preferred.
  • Experience using ERP systems and procurement software preferred.
  • SAP experience preferred.
