Position Summary

The Project Coordinator is an entry-level role within the IT Project Management job family. This position is a unique opportunity to participate in a multi-year, enterprise-wide business and technology transformation designed to standardize, simplify, and modernize our company's operating model.

The ideal candidate will be highly organized, detail-oriented, and eager to learn the fundamentals of large-scale program management. This role provides critical operational support to the transformation team by managing schedules, coordinating vendor integration, tracking action items and deliverables, and ensuring seamless overall program organization across all company departments.

Duties/Responsibilities

Program Coordination & Scheduling

  • Calendar Management: Schedule and coordinate complex, cross-functional program meetings, workshops, and steering committee sessions across multiple departments.
  • Meeting Logistics: Prepare agendas, distribute pre-reading materials, capture detailed meeting minutes, and document action items and decisions.
  • Timeline Tracking: Assist Project Managers in maintaining master program schedules, tracking dependencies, and flagging potential delays.

Vendor & Stakeholder Integration

  • Vendor Liaison: Serve as a point of contact for external technology vendors and integration partners, coordinating onboarding logistics and scheduling joint working sessions.
  • Documentation Flow: Track external vendor deliverables, invoices, and statements of work (SOWs) to ensure they align with program milestones.
  • Cross-Functional Support: Help bridge communication between project teams and various business units to ensure broad alignment.

Duties/Responsibilities Cont.

Deliverable & Documentation Management

  • Repository Management: Maintain the central program repository (e.g., SharePoint, Teams, or SuccessFactors project spaces), ensuring all project artifacts, charters, and status reports are organized and accessible.
  • Status Reporting: Consolidate data from various workstreams to assist in preparing weekly or monthly program status dashboards for leadership.
  • Action Item Follow-up: Proactively follow up with risk and action-item owners to ensure updates are captured timely.

General Program Organization

  • Process Mapping Support: Assist business analysts and project managers in organizing documentation related to current-state "workarounds" and future-state standardized workflows.
  • Change Management Support: Assist with the logistical coordination of training sessions, town halls, and internal communications as the company transitions to the new operating model.
Qualifications

Required Qualifications and Education:

  • Bachelor's degree in Business Administration, Information Technology, Construction Management, or a related field (or equivalent practical experience).
  • 0-2 years' experience, preferably in an IT support role.
  • Exceptional organizational and time-management skills, with a proven ability to manage multiple moving parts without losing attention to detail.
  • Strong written and verbal communication skills; comfortable interacting with diverse teams ranging from field operations to corporate IT.
  • Proficiency with Microsoft Office 365 suite (Word, Excel, PowerPoint, Teams, SharePoint).
  • A resilient, growth-oriented mindset comfortable with the ambiguity and evolution inherent in a major enterprise transformation.

Preferred Qualifications:

  • Familiarity with project management software (e.g., MS Project, Asana, Monday.com, Jira).
  • Basic understanding of construction industry operations, enterprise IT systems, and business setting
  • Interest in pursuing project management certifications (e.g., CAPM - Certified Associate in Project Management) in the future.

Travel will be expected with this position to and from remote office locations and job sites. Travel will account for less than 10%. This position should anticipate a percentage of after-hours work for server maintenance, upgrades, etc.

Position Type/Expected Hours of Work

This is a full-time position which will typically involve 40 hours per week.
