Summary: The Senior Executive Assistant serves as a trusted partner to senior leaders at UNC Health, providing high-level executive and operational administrative support. This position supports one or more Associate Vice Presidents, Vice Presidents, Senior Vice Presidents, Presidents, or UNC Health System officers and plays a critical role in ensuring seamless day-to-day operations and progress on key organizational priorities. Key Responsibilities: Calendar Management
- Serve as the primary liaison to senior leadership, anticipating needs related to schedules, meetings, travel, and deliverables to ensure optimal use of executive time
- Strategically manage complex calendars, including prioritization, conflict resolution, buffer planning, and coordination across multiple leaders and teams
- Prepare executives for meetings by coordinating agendas, materials, presentations, and pre-read documents in advance
- Screen telephone calls, visitors, email, and mail on behalf of the executive, responding independently to routine matters and escalating issues as appropriate
Meeting Preparation and Support
- Ensure agendas, presentation materials, and supporting documents are distributed to meeting participants in advance and follow up on action items post-meeting
- Coordinate executive-level meetings, including leadership meetings, cross-functional sessions, and external engagements
- Prepare and distribute meeting minutes, summaries, and action trackers to ensure accountability and follow-through
Financial and Administrative Compliance
- Maintain organized digital and physical records in compliance with policies
- Ensure timely and accurate submission of time and PTO entries to meet payroll and reporting requirements
- Support executive and staff onboarding and offboarding
- Coordinate travel arrangements and manage associated expense reconciliation
- Manage executive expense reimbursement processes, including reconciliation submission, tracking, and follow-up in accordance with policies and timelines
- Maintains confidentiality of information.
Other Information
Education Requirements: * High School diploma or GED Licensure/Certification Requirements: * No licensure or certification required. Professional Experience Requirements: * Four years of high level administrative/office management experience; preferably in support of a vice-president or president of an organization. Knowledge/Skills/and Abilities Requirements: * Microsoft products: Outlook, Word, Power Point, communication and computer skills, time management, technical skills, calendar management, and meeting planning
