Brown and Caldwell (BC) is seeking a Senior Health & Safety (H&S) Administrator to support our Enterprise H&S Team. The Senior H&S Administrator role provides administrative and systems support in the area of occupational health and workplace safety. The role provides advanced support for maintaining and advancing internal programs to support employees in identifying, evaluating, eliminating and mitigating workplace hazards to prevent incidents. This role provides support in the implementation and/or management of systems, policies, procedures and other resources related to ensuring compliance with local, state, and federal regulations, client requirements and standards within the organization. Work performed is under limited supervision with latitude for independent judgment. Our ideal candidate is a motivated individual who is tech-savvy, can effectively multi-task and interact with fellow co-workers and multiple data systems. This position will provide a variety of support functions from helping the team manage employee H&S records, synthesize H&S data, support H&S training management, and interfacing directly with BC employees and local H&S Coordinators on H&S administrative support topics. Remote work within the United States is allowed; the ideal candidate will be located near a BC office for occasional in-person collaboration. Responsibilities
- Assist in the development, maintenance and implementation of company health and safety policies and procedures.
- Support management of the internal system that facilitates the routine review and monitoring of project and/or office inspections, audits, and work observations while leading related tracking and managing internal trend reporting. This includes leading tracking and applicable follow-up for office-related aspects.
- Lead maintenance and support efforts of local office health and safety, including related policies and procedures.
- Manage and implement the administrative review process for project-specific Health and Safety Plans. This includes managing related submittal inbox and/or other related systems or processes as well as supporting the development and maintenance of related templates and support resources.
- Support the development of safety minutes, lessons learned and other occupational health and workplace safety support materials. This includes managing and maintaining related SharePoint resource pages and related files.
- Lead record review, processing and management related to H&S Training and Medical programs which include assisting with facilitating the current Learning Management System (LMS), inboxes, and other related systems or processes. This includes supporting the management of program training content and/or classes, facilitating periodic auditing of training records and/or courses as well as supporting the management of training vendor relationships.
- Support management and facilitation of company's personal protective equipment (PPE) program and other similar programs including managing vendor relationships as well as related SharePoint pages.
- Provide as-needed to support company H&S processes and systems to local health and safety team members.
- Develop training and guidance resources associated with use of company health and safety systems and applications (e.g. Humantech, Staples, EHS Insight, etc.).
- Support subcontractor prequalification health and safety review, including maintaining related systems and records as well as providing recommendations around mitigation for health and safety risks identified.
- Manage processes and support related implementation for maintaining client specific qualifications for continued work in varying systems that include, but may not be limited to, Avetta and ISNetworld.
- Maintain health and safety records and documents in accordance with internal protocols and regulations. This includes supporting the maintenance of related internal protocols.
- Escalate and coordinate appropriate support for workplace incidents, near misses or other H&S concerns, which may include supporting follow-up action development or completion tracking, event trending, and related internal reporting.
- Flexibility to adapt and execute various additional assignments based on evolving needs.

- May provide mentorship, guidance, support and knowledge-sharing to help less experienced team members develop their skills and grow in their roles.
Skills and Competencies
- Competence in providing administrative support for complex tasks.
- Proven ability to work under minimal supervision and make independent decisions within organization policy, procedures and other guidelines.
- Strong understanding of health and safety regulations and standards with ability to accurately summarize.
- Strong communication and administrative skills for delivering health and safety information and maintaining associated documentation.
- Strong written and verbal communication skills for effective relationship building and fostering collaboration with a variety of business partners.
- Understanding of Learning Management Systems (LMS), contractor Prequalification Systems (i.e. Avetta, ISNetworld), EHS Management systems and/or other similar systems.
- Demonstrates a strong aptitude for quickly mastering new software applications and documenting procedures, ensuring alignment with BC's evolving programs and guidelines to maintain up-to-date and compliant operations (i.e., CoPilot, Adobe/Bluebeam/SpecLink).
- Advanced Skills in MS Office products including Excel, Word, PowerPoint, and Outlook; proficiency with Internet applications.
Experience
- Typically, a minimum of 4 experience in an occupational health and safety or administrative support role within a similar work environment required.
- Experience with facilitating and maintaining occupational health and workplace safety policies, procedures and/or other supporting guidance and materials such as safety minutes, lessons learned, etc.
Preferred Experience
- Experience in H&S operations of engineering services, construction, industrial or municipal operations where a basic working knowledge of OSHA regulations and compliance has been developed.
- Experience with training technologies and Learning Management Systems.
- Experience with Software as a Service (SaaS) systems and/or other similar electronic systems used to facilitate, document, track, and/or report in areas of H&S.
- Basic knowledge of risk factors and mitigation methods related to computer workstation ergonomics.
- Proficiency with Microsoft 365 applications, formatting, proof reading, and basic video editing.
- Software proficiency: familiarity with other commonly used data systems or applications (e.g., SharePoint, MS Teams, etc.).
- Analytical Skills: Strong analytical and problem-solving abilities, including attention to details, accuracy, and completeness as well as a commitment to producing high-quality deliverables.
- Self-motivation: Self-motivated with the ability to take initiative and work independently.
- Multi-tasking: Able to manage multiple priorities in a fast-paced environment.

Education
- A High School Diploma or equivalent is required.
Preferred Education
- A Bachelor's degree or equivalent.
Salary Range: The anticipated starting pay range for this position is based on the employee's primary work location and may be more or less depending upon skills, experience, and education.
