POSITION SUMMARY:

Administrative Assistant to the General Manager and provides support to the Leadership Team, including the Midwest Sheet Plants Vice President, in addition to various departments. The position will work closely with the Sales Manager and sales team on an as needed basis. Organizes and supports special events for the division.

ESSENTIAL FUNCTIONS:

Answers sales, administrative, and production telephone calls.

Prepares reports, graphics, and spreadsheets for teams to assist in data driven decision making.

Distributes and processes monthly sales/business analysis to Leadership Team and sales personnel.

Assigns, records, tracks and disburses tickets for events.

Orders flowers for employees suffering from severe illness or family loss.

Coordinates customer, employee meetings, luncheons ie. presentations, food, catering, etc.

Coordinates employee recognition events across the WI Sheet Plants including safety luncheons, employee recognition events, and holiday party.

Organizes service award presentations and recognition activities for employees.

Prepares presentations and sales handouts for customers and employees.

Sends personnel birthday & Christmas cards.

Orders promotional items.

Distributes incoming/outgoing correspondence for the organization.

Maintains vacation records for General Manager's direct reports.

Provide some administrative support to HR Team on a periodic basis.

Manages regional organization charts.

Orders and maintains office supplies, maintains break room and conference rooms.

POSITION REQUIREMENTS:

Requires strong communication skills to deal with all levels of the organization and directly with customers. Must be very well organized. Must be able to maintain a positive attitude regardless of the situation at hand. Must be extremely approachable with a friendly demeaner to both internal and external customers. Must be able to keep sensitive information and other details confidential. Must be able to think on their feet and respond to short and tight timelines. Must adjust and adapt to a fast-paced work environment. Desire to continually improve and grow. Strong skills in Microsoft Office, especially utilizing Word, Outlook and Excel programs. Proficient in PowerPoint and software above with ability to create and modify documents and presentations on very short notice.

EDUCATION/EXPEREINCE:

Minimum of a 2-year degree from a technical college in Administration or related field. 3-5 years of experience supporting an office or sales team.
