About the Role: We're seeking a highly organized and detail-oriented Talent & Culture Senior Coordinator to support Wiley's Corporate VP of Talent & Culture. This role is ideal for someone who excels at operational excellence, thrives in a fast-paced environment, and wants to grow their career by gaining exposure to strategic HR work, executive recruitment, and culture transformation initiatives. You'll be the operational hub for a 25-person Talent & Culture organization during an exciting period as Wiley evolves from traditional publishing to an AI-forward research intelligence leader. Your ability to anticipate needs, manage complex logistics, and maintain exceptional attention to detail will enable senior leaders to focus on strategic priorities. Job Responsibilities Team Operations & Event Planning
- Plan and execute quarterly team calls, including scheduling, logistics, technology coordination, and follow-up
- Coordinate team meetings and events, handling all logistical details
- Compile and format executive presentations and reports as directed
- Track action items and deliverables from key meetings
- Maintain team calendars and distribution lists
Project & Administrative Support
- Compile data and materials for leadership meetings and presentation
- Create and maintain organizational charts, process documentation, and resource libraries
- Handle ad hoc administrative tasks and special projects as assigned
Executive Support & Calendar Management
- Manage complex calendar for the Corporate VP of Talent & Culture, including scheduling meetings, resolving conflicts, and optimizing time allocation
- Coordinate logistics for internal and external meetings, including room reservations, technology setup, and materials preparation
- Process expense reports and handle travel arrangements as needed
- Maintain confidential files and documentation with discretion
Executive Recruitment Coordination
- Partner with the Head of Talent Acquisition to deliver exceptional candidate experiences for executive-level searches
- Coordinate interview scheduling across C-suite and board member calendars with meticulous attention to detail
- Serve as the primary point of contact for executive candidates throughout the recruitment process
- Manage all logistics for executive candidate visits, including travel arrangements, accommodations, detailed itineraries, and hospitality
- Ensure seamless communication and white-glove service for all executive candidates
- Track candidate progress through the recruitment pipeline and maintain organized records
Vendor & Budget Coordination
- Serve as liaison for Talent & Culture vendors, coordinating meetings and processing invoices
- Track departmental expenses and maintain budget records
- Flag budget concerns or discrepancies to leadership
- Process purchase orders and manage vendor payment timelines
- Maintain organized vendor files and contract documentation
Required Qualifications
- 2-4 years of experience in coordinator, executive assistant, or administrative support roles
- Experience coordinating complex calendars and managing competing priorities
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Professional presence and comfort interacting with senior executives and external stakeholders
- Experience in HR, Talent, or People functions is a plus but not required

We are committed to fair, transparent pay, and we strive to provide competitive compensation in addition to a comprehensive benefits package. The range below represents Wiley's good faith and reasonable estimate of the base pay for this role at the time of posting roles either in the United Kingdom, Canada or USA. It is anticipated that most qualified candidates will fall within the range, however the ultimate salary offered for this role may be higher or lower and will be set based on a variety of non-discriminatory factors, including but not limited to, geographic location, skills, and competencies.
