Accounts Payable Specialist - JLL

Location:Hybrid - Westmont, IL 60559

Mandatory on-site attendance: Tuesdays, Wednesdays, and Thursdays Remote work: Mondays and Fridays (Schedule subject to modification based on business needs)

What this job involves:

Join JLL's Finance team as an Accounts Payable Specialist, where you'll play a critical role in delivering exceptional financial operations support to our clients. In this position, you'll be responsible for managing high-volume accounts payable transactions across multiple sites while ensuring accuracy, efficiency, and strict adherence to contractual requirements and internal policies. As a key member of our finance team, you'll serve as a subject matter expert on AP processes, directly contributing to our ability to meet and exceed client Key Performance Indicators. This role offers the opportunity to work in a dynamic, fast-paced environment where your attention to detail and process expertise will directly impact client satisfaction and operational excellence. You'll collaborate closely with finance teams, facility managers, vendors, and clients while continuously identifying opportunities to enhance efficiency and reduce costs.

What your day-to-day will look like:

  • Process a high volume of accounts payable transactions including automated and manual vendor invoice entry, expense reports, check requests, and vendor reconciliations with precision and efficiency to meet daily and weekly deadlines across multiple sites.
  • Manage physical and electronic correspondence distribution as assigned, ensuring accurate routing to appropriate recipients or clients-a critical component of your mandatory on-site responsibilities.
  • Serve as the primary point of contact for accounts payable inquiries from site teams, clients, and vendors, providing expert guidance and timely resolution to issues as they arise.
  • Execute vendor statement reconciliations, investigate and resolve discrepancies, and maintain professional communication with suppliers and internal teams to ensure smooth payment processes.
  • Monitor and verify that all transactions receive proper approval prior to processing, maintaining strict compliance with JLL accounts payable policies, procedures, and internal controls.
  • Maintain and update accounts payable process playbooks and desktop operations workflows, actively identifying opportunities to streamline processes, reduce costs, and improve operational standards.
  • Manage client email inboxes, organize correspondence, and support special projects as directed by management while participating in team collaboration, performance management programs, and personal development planning.

Required Qualifications:

  • Minimum 3 years of direct accounts payable work experience in a high-volume transaction environment with demonstrated proficiency in AP principles, accounting standards, and industry regulations.
  • Bachelor's or Associate degree in Accounting, Finance, or related field preferred, or equivalent combination of education and relevant work experience.
  • Advanced proficiency with accounting software and Microsoft Office Suite, particularly Excel, with ability to manage complex spreadsheets, formulas, and data analysis (experience with JD Edwards is a plus).
  • Proven expertise in account reconciliation processes with strong attention to detail and ability to accurately process high volumes of data while maintaining quality standards.
  • Exceptional time management, organizational skills, and ability to consistently meet deadlines in a fast-paced environment while following established instructions and guidelines.
  • Excellent written and verbal communication skills with demonstrated ability to interact professionally with team members at all organizational levels and interface effectively with external vendors.
  • Customer service or client-facing background with proven ability to work collaboratively in team environments while maintaining reliability and consistent presence in the work environment.

Preferred Qualifications:

  • Experience supporting finance operations for corporate or facility management accounts with multiple sites or business units.
  • Familiarity with Key Performance Indicator tracking and reporting in accounts payable or finance operations.
  • Previous exposure to process documentation, playbook development, or workflow optimization initiatives.
  • Background in continuous improvement methodologies or cost reduction projects within finance operations.
  • Experience managing client-specific email inboxes and directing correspondence to appropriate stakeholders.
  • Understanding of internal control frameworks and compliance requirements in accounts payable environments.
  • Demonstrated track record of identifying and implementing efficiency improvements in transactional processing environments.

Estimated compensation for this position:

48,500.00 - 53,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
