The Rosen College of Hospitality Management is comprised of approximately 100 diverse faculty and staff members that represent over 18 different countries and are recognized for their research, teaching skills, and industry impact. The Opportunity:

UCF's Rosen College of Hospitality Management is seeking an Executive Assistant II to join our team! The incumbent for this role will provide highlevel administrative and project support to the college's Dean, ensuring efficient daily operations and execution of strategic initiatives. They will manage complex tasks, coordinate priorities, and facilitate communication across internal and external stakeholders with professionalism, discretion, and strong organizational skills.

Responsibilities:


  • Provide comprehensive administrative support to the Dean, including calendar and schedule management, correspondence, document preparation, and travel coordination in accordance with UCF policies.

  • Review and ensure accuracy of all documents submitted for the Dean's signature; manage follow-up on approvals and action items.

  • Support the Associate Dean, Assistant Dean, and Department Chairs with correspondence, scheduling, and travel coordination.

  • Supervise and train full-time USPS and A&P staff reporting to this position.

  • Serve as event coordinator for the college retreat, Dean's Advisory Board (DAB), and other college-level meetings; manage DAB communications.

  • Prepare and distribute meeting agendas, minutes, and communications; capture and follow up on action items from key meetings.

  • - Maintain confidential personnel files for faculty and staff; coordinate records for promotion and tenure, awards, and special programs in compliance with audit requirements.

  • Coordinate data collection, compilation, and submission related to policy formation and institutional reporting.

  • Advise on faculty, administrator, and staff recruitment; serve on search committees as needed.

  • Serve as liaison to university departments, external industry partners, and educational institutions on behalf of the college.

  • Perform other duties as assigned.


Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience oran equivalent combination of education and experiencepursuant toFla. Stat. 112.219(6).

Preferred Qualifications:


  • 4+ years of progressively responsible administrative support experience, with at least 2 years supporting executive-level leadership.

  • Expertise in managing complex calendars, coordinating high-level meetings, arranging travel, and recording meeting minutes.

  • Experience managing sensitive information with confidentiality, discretion, and professionalism.

  • Experience supervising or leading administrative staff.

  • Knowledge of university or large organizational administrative practices, policies, and financial procedures.

  • Experience in a customer service-oriented role with the ability to interact professionally and provide courteous responses to inquiries from stakeholders.

  • Proficiency in writing, editing, and proofreading, with experience preparing reports, presentations, and executive correspondence.

  • High level of technological proficiency, including expertise with Microsoft Office Suite and the ability to adapt quickly to new systems and platforms.

  • Experience partnering with other teams, key stakeholders, and campus partners to address critical needs and resolve complex issues.
