Position Summary:
The Department of Pediatric Radiology provides a full range of imaging services for newborns, infants, children, teenagers, young adults, and pregnant women at Boston Children's Hospital and our satellite clinics. Radiology provides individualized care for each patient to obtain the highest quality images and ensure the most accurate diagnoses using the most sophisticated imaging equipment available.
As a Patient Experience Representative, you will work to provide support to the administrative operations/front desk service and ensure the best possible patient experience by effectively coordinating services to patients and families.
Key responsibilities:
- Patient Encounter Management:
- Providing positive and effective customer service that supports unit operations
- Collaborating with referring providers and practices
- Obtaining required authorizations to compile patient and staff schedules
- Scheduling patients and supporting patients encounter
- Check In / Check Out:
- Greeting and directing patients, families and visitors
- Monitoring daily schedule and coordinating flow with clinicians/supervisors
- Reconciling payments and preparing deposits, providing record of transactions in Hospital systems
- Facilitating and directing communication with Financial Counseling
- Administrative:
- Recording and forwarding messages, triaging calls for urgent information or services, initiating call for emergency services
- Providing routine clerical support as needed
- Image Service Center Support:
- Retrieving, filing, delivering, and digitally converting radiologic films and digital images for physicians, patients, and others as requested or required. Responding to customer requests, researching and locating missing files and images.
- Receiving, prioritizing, and responding to requests for patient film/digital image records in accordance with established procedures and guidelines. Accessing hospital and departmental information systems to track and locate film/digital image files and creating logs and coding files as needed. Retrieving and delivering films/digital images to designated locations within the department and throughout the hospital.
- Preparing and digitally converting images for viewing by radiologist or customer. Retrieving requested patient files, completing required logs and records, and digitally converting when necessary. Training others on the use of digitizer and PACS cube functionality.
- Receiving and responding to routine and urgent inquiries regarding the status and location of missing files and digital images. Searching computer records to locate and retrieve requested files and digital images for physicians, parents/patients, and other hospital and departmental staff. Investigating and resolving image tracking and location issues and problems, recommending possible solutions and referring unusual or sensitive matters to supervisor or Radiology IT.
Schedule:
- Wednesday: 3pm to 11pm
- Thursday: 11pm to 7am
- Saturday: 12pm to 11pm
- Wednesday, Thursday, and Saturday schedule will end in September, but there is also the option to work on call Sunday 11pm to 7am and continue those hours after September.
- Training would require 4 weeks of full time Monday through Friday training from 3pm to 11pm for two weeks and 11pm to 7am for another two weeks
Minimum qualifications Education:
- A high school level of education, bachelor's degree preferred
Experience:
- Prior customer service or administrative experience preferred
- The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations
- The ability to work with diverse internal and external constituencies
The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting. Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
