Key Responsibilities

Order & Documentation Review



  • Review customer orders for accuracy and completeness
  • Verify pricing, fees, and product details according to company guidelines
  • Identify and correct order discrepancies before processing
  • Prepare daily reports for the sales team or leadership review


Financial & Payment Processing



  • Process customer payments and maintain accurate daily logs
  • Reconcile cash, check, and credit card transactions
  • Balance daily and weekly reports to ensure accuracy
  • Contact customers regarding outstanding balances when required


Delivery Ticket & Record Management



  • Review delivery or service documents and note any missing or incomplete records
  • Work with operations staff to resolve documentation issues
  • Organize, scan, and archive records in a timely, consistent manner


Inside Sales Support



  • Serve as a point of contact for customers seeking information and coordinate workflow assignments with the Sales Manager
  • Support the sales team with followup calls, customer updates, and opportunity tracking
  • Maintain customer account information and ensure data accuracy in internal systems
  • Assist with preparing proposals and sales materials


General Administrative Support



  • Maintain organized digital and physical filing systems
  • Assist with setting up new customer accounts or project files
  • Provide general support to the sales team on administrative tasks
  • Take on additional duties as assigned by the Sales Manager


Requirements



  • Previous administrative or inside sales experience preferred
  • Strong attention to detail and ability to manage multiple deadlines
  • Excellent communication and customer service skills
  • Strong organizational and followthrough abilities
  • Comfortable working in a fastpaced office environment
  • Experience with business, CRM, or orderentry software is a plus
