Job Summary
Responsible for performing and overseeing a wide range of administrative activities. These may include but are not limited to duties surrounding general administrative support. The ideal candidate will be responsible for overseeing and ensuring logistics operations run smoothly and efficiently. This role requires strong organizational skills, DOT knowledge, and the ability to work with various systems, Google workspace, SAP, Serrela, etc. The Logistics Coordinator will play a crucial role in optimizing our supply chain processes while maintaining high levels of customer satisfaction. Duties & Responsibilities
- Partner with Operations &Fleet to create deliveries for loads each week and distribute load orders to Delivery Specialists.
- Monitor day-to-day movement of loads, entering loads into company software, coordinating pickup and delivery appointments, tracking loads in transit, and updating customers on load status. Adjust any errors if necessary and post goods issued (PGI) to ensure accurate billing.
- Provide customer service support inquiring about payments and goods received.
- Generate necessary paperwork (including Bill of Ladings) for Delivery Specialist loads/deliveries using SAP.
- Daily, manually retrieve Certificates of Analysis (COA's) for Delivery Specialist loads
- Responsible for Serrela maintaining the site's utilities on a month-to-month basis.
- Coordinate and manage logistics operations, including materials management and dispatching.
- Create purchase orders, code invoices &obtain necessary backup and approval requirements
- Responsible for entering in month-to-month cost tracking for the site. Trace invoices to be paid, accruals for the following month, ensuring invoices are received and paid in a timely manner.
- Process Invoices and Payments:
- Create necessary requisitions to obtain purchase orders from the Buy Team.
- Post invoices upon receipt of goods.
- Ensure timely vendor payments.
- Troubleshooting and Support:
- Resolve complex accounts payable issues, including tax discrepancies, vendor name changes, and banking information updates.
- Collaborate with the Help Desk, Finance Desk, and Buy teams to resolve payment problems.
- Manage a high volume of daily accounts payable troubleshooting emails
- Cost Management and Accruals:
- Maintain and update site Cost Tracking Spreadsheets to record all monthly expenditures.
- Accrue and document any monthly costs that have not been Goods Receipted (GR' d) by month-end on the site Accrual Tracking Spreadsheet.
- Maintain organized filing systems and manage office supplies and resources.
Qualifications
Knowledge, Skills & Abilities
- 2+ years of experience in inventory management, warehouse operations, and logistics
- Strong knowledge of inventory management software, SAP,
- Excellent communication and interpersonal skills
- Analytical mindset with the ability to interpret data and make data-driven decisions
- Knowledge of safety and regulatory requirements related to materials handling
- Knowledge of DOT regulations / experience
Education & Experience
Required:
- 2+ years of experience in inventory management, warehouse operations, and logistics
- High school Diploma or equivalent
Working Conditions
- Manufacturing working environment
- No Travel required
- PPE in designated areas
