Executive Events Coordinator Contract, 2/12/2026 - 4/3/2026, intention to extend onsite 5 days/week. Day to day: This will be a role on the events team. 1/2 the day will be spent fielding event requests and managing the events calendar for 20+ event spaces, and the remainder would be spent planning and executing event. The ratio of this and time spent will be dependent on business needs. Overview: The Workplace Services Events Team designs and produces events that bring together executives, partners, customers and employees in the Chicago Tower. We are seeking a candidate who is passionate about hospitality and events to join our Chicago-based events team. We specialize in in-person experiences. Success in this role requires agility, clear and compelling communications, outstanding organizational skills, and the ability to collaborate cross-functionally. This individual will work closely with the Security, Space Planning, Facilities, Workplace, Culinary and Guest Services Teams to deliver successful events. Roles & Responsibilities: *The position is responsible for the operational excellence of our meetings/events through calendar management and event execution. Events will include: customer meetings, executive receptions, intimate dinners, town halls and employee events *Work with internal service partners Security, Space Planning, Facilities, Workplace, Culinary and Guest Services Teams to deliver successful events. *Solid office management / workplace environment knowledge *Ticketing and planning on Salesforce platform, and managing G-cal *Strong customer service and executive interaction experience *Understand Salesforce brand and product positioning with the ability to ensure consistent, on-brand messaging for all events *Continuous development of team playbooks and standard operating procedures *Organize logistics, from beginning to end *Pre, onsite and post event logistical management *Key stakeholder for G-Cal calendar management for internal event space *Liaise and negotiate with vendors to achieve the most favorable terms for goods and services *Management of event statistics and ad hoc reporting *Manage various workplace projects as assigned *Multitask many events and projects at one time Required Skills: *Experience will be evaluated based on alignment to the core competencies for the role *Highly personable and customer service focused with great attention to detail *Excellent written and verbal communication with ability to proactively address client's needs *Excellent organizational skills and able to manage a calendar with multiple concurrent events *Experience in managing budgets, financial planning and tracking *Excellent problem-solving skills with ability to creatively negotiate demands *Results-oriented, customer-driven, and organized *Knowledge of Salesforce platform *Assess and prioritize workload in a strict deadline centric environment *Thrive on teamwork and overcoming obstacles *Ability to work a flexible schedule as needed *In-depth knowledge of Microsoft Office programs (Word, Excel, Outlook, and PowerPoint) is necessary Interview Process: 2-3 rounds *Top Skills Details* event management,event planning,event coordination *Additional Skills & Qualifications* * Candidates need to have great organizational skills, Able to engage with C-Suites/Executives, managing different projects at once. Engagements with the clients is handled very meticulously. * Customer Facing, bringing them onsite and making it a memorable experience. * Candidates with experience in Non-Profits would be great. * Open to seeing candidates with 2-3 years of exp or up to 10 years. * Bulk of there business is meetings, ordering catering, providing a unique experience to the client or nonprofit. * Opportunity for candidates to volunteer in the tower, own different vendor relationships. Lots of growth opps as well. * 6 month Contract Extendable. Closer to the 2 year mark there is opportunity for conversion. * Fully Onsite. * Works well on a large team, able to take professional feedback and apply it accordingly. * Someone who has worked in TECH and the Event Space is ideal. * Anyone coming in with a rolodex of professional relationships/vendors is great. *Experience Level* Intermediate Level *Job Type & Location*This is a Contract position based out of Chicago, IL. *Pay and Benefits*The pay range for this position is $45.00 - $51.00/hr.
