Job Summary

The Academic Personnel Analyst serves as the primary expert for all academic personnel operations within the Department of Urologic Surgery. This role manages and coordinates a full range of academic personnel actions in collaboration with Schools, Colleges, and Departments across UC Davis.

Key responsibilities include oversight of all academic personnel-both faculty and non-faculty-along with Voluntary Clinical series appointments, department medical staff credentialing, Staff (MSP) Physician coordination, and services for international scholars. The position conducts advanced administrative analysis across all academic personnel functions, including recruitment, appointment, advancement, leaves, conflict resolution, separation, visa/immigration processes, and employee relation matters. The analyst serves as a primary liaison to the Dean's Academic Personnel Office, Services for International Students and Scholars (SISS), and Human Resources.

The incumbent provides policy interpretation, guidance, and monitoring related to all academic personnel actions and is responsible for onboarding faculty and non-faculty academic appointees. Additional responsibilities include managing medical staff privileges, billing packets, proctoring, visa processing, Volunteer Clinical Faculty appointments, joint appointments, and Memorandums of Understanding (MOUs) for joint UCD/VA appointees. The role also provides executive-level support to the Department Chair, Vice Chair, and administrative leadership as needed.

This position analyzes existing and proposed administrative policies and procedures and serves as the department's subject-matter expert on academic personnel. It requires in-depth knowledge of the School of Medicine and UC Davis policies, Academic Personnel Manual (APM) guidelines, and compensation plan structures. The incumbent independently drafts correspondence related to faculty recruitment and hiring and offers strategic expertise to the Chair, CAO, and Operations Manager on all recruitment, search processes, and advancement actions.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and / or equivalent experience / training
  • Demonstrated current experience working with at least 3 years in an academic personnel environment, including interpreting and explaining academic personnel policies, procedures, and processes to support academic actions.
  • Proven proficiency with Microsoft Office and related software required to perform the responsibilities of the position.
  • Current experience with academic advancement actions and new appointments, as well as providing executive and administrative support.
  • Experience coordinating large volume of work, managing detailed projects with conflicting priorities and competing deadlines.
  • Demonstrated experience with internal systems to effectively carry out the duties for the position.
  • Thorough knowledge of and ability to apply and interpret organization and university policies and procedures which govern academic affairs.
  • Ability to analyze complex management issues, develop project scope and solutions, give professional advice to leadership and make critical decisions regarding academic personnel.
  • Ability to establish goals and workload priorities.
  • Excellent critical and innovative thinking skills to make decisions, develop recommendations and formulate corrective actions based on understanding of policies and guidelines.
  • Excellent ability to draft summaries, proposals, correspondence, and other communications, with a thorough command of English grammar and strong editing skills in grammar, spelling, and punctuation.
  • Detail oriented with excellent analytical and problem-solving skills.
  • Excellent interpersonal and communication skills, both verbal and written, to understand and appropriately respond to multiple and frequent inquiries, requests and instructions in a courteous, cooperative and professional manner.
  • Tact, diplomacy and flexibility to effectively deal with faculty, staff, and others.

The Department of Urologic Surgery is a multidisciplinary clinical and research department dedicated to the diagnosis, treatment, and prevention of disorders of the urinary tract and male reproductive system. The department integrates patient care, surgical innovation, research, and education, serving as a regional and national leader in the management of both common and complex urologic conditions.
