Position Summary:

We have an exciting opportunity to join our team as a Participant Experience Program Coordinator. In this role, the successful candidate will play a key role in supporting participant engagement and retention efforts for the ECHO and CHES studies. The role focuses on improving the participant journey in a longitudinal study by overseeing communications, programming, and outreach initiatives. The coordinator will work closely with the other Research Coordinators and study staff to ensure consistent, participant-centered practices across all three study sites.

Job Responsibilities:

  • Quarterly Newsletter:
    • Develop, draft, and distribute the study?s quarterly newsletter to participants and their families.
    • Collaborate with study staff to spotlight investigators, highlight key updates, findings, and participant resources.
  • In-Person Programming for Child Participants:
    • Design and coordinate engaging in-person for child participants in CHES.
    • Work with study staff to align programming (museum outings, picnics, puppet shows) with study goals while maintaining a positive participant experience.
  • Participant Outreach:
    • Support outreach efforts (consenting, scheduling, and coordinating study visits).
    • Serve as point of contact for participants to answer questions and aid throughout enrollment and follow-up.
  • Support for the Research Coordinators:
    • Support the other Research Coordinators in distributing updated publications to participants at the time of consent.
    • Ensure publications and study updates are provided on quarterly basis to promote transparency and strengthen retention.
  • Manage the development and maintenance of study documents. Manage the preparation of clinical protocols, amendments, informed consent forms, study guides, case report forms, and any other clinical research related documents.
  • Maintain all databases and conduct routine maintenance as needed to ensure data integrity.
  • Administers electronic health information questionnaires to consented study participants, responsible for storage, back up and transfer of data from these questionnaires to a central database. Responsible for accuracy of data entry from paper forms and storage of these forms. Train and monitor study sites in correct collection, processing and shipping of bio specimens to central repository.
  • Manage the preparation of study progress reports and present information on a weekly basis to the PI and research staff.
  • Manage the submission of necessary documents required by the NYU Institutional Board (IRB) Secures accurate signatures and forwards documents and/or forms to appropriate destination. Ensures the accurate execution of research protocols in accordance with Good Clinical Practices, HIPAA.

Minimum Qualifications:

To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field. Two years of experience coordinating Project/Programs or programs or an equivalent combination of education and experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:

Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multitask while paying attention to details. Experience in participant or community engagement, health research, or program coordination. Strong interpersonal and communication skills, with the ability to interact effectively with diverse populations. Excellent organizational skills and ability to manage multiple projects simultaneously. Commitment to fostering a positive participant experience and supporting long-term retention in research studies.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,300.00 - $78,511.55 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
