Position Overview

JLL is seeking an experienced Lease Administrator to join our dedicated team managing leases for one of our largest enterprise clients. This role is crucial in maintaining and optimizing the lease management system, ensuring accurate data handling, and facilitating smooth vendor relationships. The ideal candidate will be adept at managing complex lease information, responding to inquiries, and tracking critical deadlines while delivering exceptional client service that supports our commitment to operational excellence.

This is a remote position (Seattle and/or West Coast preferred but not required).

Key Responsibilities

Lease Data Management and Administration

  • Abstract, analyze, and input critical lease data into sophisticated lease management systems with exceptional accuracy

  • Maintain comprehensive lease databases ensuring data integrity and accessibility across multiple platforms

  • Monitor lease portfolios for compliance with terms, conditions, and regulatory requirements

  • Create and maintain detailed documentation for all lease administration processes and procedures

Financial Management and Compliance

  • Conduct thorough monthly reviews, audits, and processing of lease payment obligations

  • Oversee purchase order processing and payment requests, ensuring appropriate approvals and documentation

  • Reconcile rent payments and investigate discrepancies with systematic precision

  • Support budget planning and forecasting activities related to leasing portfolios

  • Ensure compliance with lease accounting standards and financial reporting requirements

Vendor and Stakeholder Relations

  • Lead comprehensive onboarding processes for landlords and vendors, including documentation management and ticketing system entry

  • Serve as primary point of contact for internal and external stakeholders regarding lease-related matters

  • Address and resolve complex inquiries related to rent payments, vendor onboarding, and lease obligations

  • Build strong professional relationships that support long-term business objectives

  • Facilitate communication between legal, transaction managers, and vendors

Technology Implementation and Process Optimization

  • Assist in implementing new lease administration software and system upgrades

  • Participate in system testing, user acceptance testing, and training development

  • Identify opportunities for process improvement and automation to create efficiencies

  • Support data migration activities and system integration projects

  • Contribute to the development of best practices and standard operating procedures

Critical Date Management and Reporting

  • Monitor and act on critical dates for lease renewals, terminations, and option exercises

  • Maintain comprehensive tracking systems for leasing milestones and deadlines

  • Generate regular reports on lease portfolio performance, expiration schedules, and financial metrics

  • Provide analytical support for lease renewal negotiations and strategic planning initiatives

  • Perform administrative tasks and contribute to special projects as assigned

Required Qualifications

Experience and Education

  • Minimum 3-5 years of progressive experience in lease administration, accounting, vendor management, or contract administration

  • Proven track record of success in managing complex lease portfolios in fast-paced environments

Technical Skills

  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)

  • Experience with lease management systems and databases

  • Working knowledge of Smartsheet or similar project management platforms

  • Strong data analysis and reporting capabilities

  • Experience with lease administration software

Core Competencies

  • Strong understanding of lease accounting principles and commercial real estate terminology

  • Exceptional attention to detail with demonstrated accuracy in high-volume leasing data environments

  • Excellent written and verbal communication skills with ability to interact professionally with diverse stakeholders

  • Superior organizational and time management skills with proven ability to multitask

  • Analytical problem-solving skills with ability to work independently

  • Customer service orientation with professional demeanor and client-focused approach

Preferred Qualifications

  • Experience in commercial real estate or professional services environment

  • Knowledge of GAAP lease accounting standards (ASC 842) and compliance requirements

  • Previous experience with enterprise-level client account management

  • Familiarity with real estate law and lease negotiation principles

  • Professional certifications in real estate or lease administration (RPA, CPM, or similar)

  • Experience with property management software and financial reporting systems

  • Bachelor's degree in business administration, finance, or related field preferred

  • Familiarity with Tango software and Zendesk preferred

Estimated compensation for this position:

90,000.00 - 105,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
