The Opportunity:

The Gift Services Specialist III will play a critical role in ensuring the accurate and timely processing of donations into UCF's CRM system. This position will be responsible for maintaining donor records, managing key gift service projects such as adjustments, major gift pledges, recurring credit card donations, and overseeing the matching gift program. The Specialist will also assist with routine maintenance of records inside the Foundation's system of record and ensure adherence to IRS guidelines and donor intent.

Responsibilities:

Donation Processing:

  • Process all donations, including cash, check, credit card, securities, gifts-in-kind, and payroll deductions into the appropriate Foundation account based on donor designation and IRS guidelines.

Revenue Batch and Record Maintenance:


  • Create and/or proof revenue batches to ensure compliance with data standards and donor intent before committing batches.

  • Review and apply any necessary corrections to batches.

  • Maintain accurate records and documentation through the Foundation's system of record and document imaging software.


Third-Party Giving Platform Administration:


  • Runs processes and generates reports in third-party giving platforms such as GiveCampus, BBIS, and similar tools.

  • Oversees the mapping, testing, and approval of fair market value forms, event registration pages, and online giving pages to ensure accuracy, functionality, and compliance.


Major Gift Pledge:

  • Proof incoming major gift pledges to ensure they align with donor intent and comply with IRS and UCF policies.

Gift Adjustments:

  • Assign or process gift adjustments as required, ensuring accurate financial records and donor recognition.

Minimum Qualifications:

High School Diploma or Equivalent and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Experience with donor database systems such as Blackbaud CRM, RE NXT, or Salesforce, preferably in a higher education fundraising or non-profit setting.

  • Experience in gift processing, pledge management, or related financial roles.

  • Familiarity with payment processing platforms and reconciliation workflows.

  • Knowledge of IRS guidelines for charitable contributions and fundraising.

  • Knowledge of Payment Card Industry (PCI) compliance and data security standards for handling donor information.


The most successful candidates may possess the following qualities:


  • Strong attention to detail and organizational skills.

  • Strong communication and interpersonal skills for donor engagement.

  • Strong time management skills to handle high-volume transactions under deadlines.

  • Ability to maintain confidentiality and discretion with sensitive donor information.

  • Experience in higher education or non-profit is preferred but not required.
