Position Description:

As a Clincial Program Coordinator II you will work independently, under the direction of the Quality Program Manager, in the Department of Anesthesiology to coordinate the day-to-day administrative activities and provide support to projects for the Quality Division. Use project management skills to ensure all projects move forward in a timely manner. This position will impact the awareness of quality initiatives, the assessment of practice performance and the outcomes of the surgical patient population. Collaboration with other departments may take place according to special project needs.

Primary Functions

  • Collaborate on the development of quality program materials including educational materials, websites, forms, and reports.
  • Maintain comprehensive quality databases and files related to the department.
  • Generate weekly adverse event list and facilitate tracking of events.
  • Serve as liaison to medical students, residents, and faculty for quality initiatives and special projects.
  • Create complex workflow charts, spreadsheets, databases, and templates.
  • Manage calendars and provide administrative support for the Vice Chair of Quality.
  • Identify appropriate cases and facilitate second victim peer support.
  • Perform ad hoc data pulls via Slicer Dicer, MyDA, and reporting workbench.
  • Coordinate monthly Quality Steering Committee, Clinical Practice Committee, and Quality Grand Rounds, which includes scheduling the meetings, generating the agendas and pertinent materials, tracking attendance, and managing meeting minutes.
  • Support special projects with the department, hospital, and/or multidisciplinary quality working groups.
  • Coordinate and prepare status reports, project reports, presentations, and create visual graphs and charts regarding special projects.
  • Report program data and progress to Quality Program Manager.
  • Coordinate quality improvement and process improvement projects including data collection, development of quality resources, working collaboratively with other departments, and liaise with project team and QI leadership.
  • Lead several projects as assigned providing project coordination including organizing meetings, agendas, onsite project activities in perioperative spaces, and follow up.
  • Assist in recruitment and training of project staff engaged in quality initiatives and projects.
  • Identify problems or obstacles within the system/procedures related to implementation of QI/PI projects and communicate to the study investigators and Quality Program Manager.
  • Assure compliance with all relevant IRB and other regulatory agency requirements, as well as ensure project activities fall within the scope of QI approval.
  • Monitor project timelines including tracking deadlines for program components and deliverables. Report deviations to the Principal Investigator and Quality Program Manager.

Knowledge - Skills - Abilities

Excellent oral and written communication skills are essential. Strong critical thinking, resource management, problem solving, accuracy, and attentiveness to detail required. Strong computer skills and proficiency with Epic.
This position regularly works with highly sensitive data and must maintain the highest level of confidentiality.
Ability to work both independently and collaboratively with project stakeholders and project teams that may span across multiple departments within the institution.
Ability to accurately enter administrative data and be comfortable performing ad hoc data pulls via clinical data sources.
Ability to demonstrate accountability and dependability when completing tasks, and effectively and professionally engage with team members and perioperative staff at Froedtert Hospital.

Position Requirements:

Appropriate experience may be substituted on equivalent basis

Minimum Required Education: Bachelor's degree

Minimum Required Experience: 3 years of experience

Preferred Experience: 3 years of experience in healthcare, clinical research, quality, project management, or equivalent.

Field: Healthcare, Clinical Quality, Project Management

Certification: CITI training required within 30 days of hire.
