Responsible for managing and coordinating a variety of department projects, activities, reports, schedules, collection and management of data for projects and work in progress. Develops office procedures to ensure efficient and timely operations. Provide administrative support and perform general office management duties necessary in the efficient operation of an office or program.

Hours- Monday-Friday 8a-4:30p

Location- 201 N. Broadway

Requirements

The Administrative Coordinator II plays a critical role in supporting the Solid Tumor Division of the Department of Oncology. This position involves reviewing, assessing, and verifying treatment plans for patients to ensure the highest standard of care. The incumbent will leverage their experience in administrative duties to identify and implement process improvements, streamline operations, and enhance patient care experiences.



  • Collects and organizes specified data from various sources, which may include departmental heads and subject matter experts, budgetary documentation, and other appropriate resources.





  • Responsible for working within the scheduling, registration, authorization/certification Epic environments, and developing standard work for identifying patient needs and tracking progress





  • Reviews daily schedules of patients to be seen to identify patients who authorization has not been completed, require further documentation, or may be in need of financial assistance or counseling





  • 2 years of relevant work experience with moderate understanding of medical, billing and coding terminology for physician and/or hospital facility.





  • Identifies potential strategies and offers suggestions to resolve issues related to patient scheduling, registration, insurance verification, and financial clearance for treatment.





  • Performs clerical duties including typing, filing, and completion of simple forms.





  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment..





  • Manage calendar and set up meetings.





  • Conduct locker audit/survey to ensure lockers are empty and unassigned.





  • Act as point of contact and call in work orders for facilities.



Qualifications

High School Diploma or Equivalent.

Five years of related work experience.

Proficient with Microsoft Office Suite and SAP.

Strong interpersonal skills are required to interact with Hospital administration, staff, patients and families, as well as to handle confidential and sensitive information.

Demonstrated ability to identify, analyze and solve problems.

Ability to plan, organize, complete and manage programs in the most efficient manner.
