Job Title: Quoting Specialist / Sales Support Location: Minneapolis, MN (On-site initially, then hybrid) Employment Type: Full-Time About the Role We are seeking a detail-oriented and organized Quoting Specialist to join our Technical Field Services team. This role is critical in supporting our sales and operations teams by preparing accurate quotes, managing contracts, and ensuring seamless client interactions. We expect this role to be able to prioritize fast and professional responses to all client communications and maintain a high standard or customer service and responsiveness. If you have experience with Salesforce, quoting processes, and a strong technical background in laboratory instrumentation we'd love to hear from you. Key Responsibilities
- Prepare and manage billable quotes for clients: Create accurate quotes based on clients need and provide continual follow-up to help progress the sale to close.
- Format and maintain contract documents for quoting purposes: Actively participate in the contract process by gathering vital information such as model and serial numbers. Update and format contract documents to ensure accuracy and consistency.
- Communicate with clients via phone to clarify requirements and provide updates: Respond quickly and professionally to incoming client requests and questions.
- Utilize and maintain Salesforce for quote management and data integrity: Manage all related quoting activities to track quote probability, follow-up tasks, and client interactions.
- Create and update contract documents using Excel: Utilize contract templates to input detailed equipment information, pricing and service dates. Ensure documents are error-free and reflect the most current client and technical information.
- Collaborate with technicians and the operations team to determine scope and technical requirements: Independently and proactively engage with the technical and operations team members to answer client question, gather technical information resolve open items.
- Provide additional administrative and sales support as needed: Scheduling meetings with clients, preparing documents, setting up service calls, following-up with clients, and helping with the PO/payment process.
- Assist with prospecting and lead generation activities: With assistance from Sales identify potential clients, facilitate marketing campaigns and initiate contact to convert leads to active opportunities.
Required Skills & Qualifications
- Minimum 2 years of experience developing quotes and managing contracts in a laboratory instrumentation environment
- Strong organizational skills and attention to detail.
- Proficiency in Salesforce and Excel.
- Familiarity with contract formatting and equipment specifications.
- Background working with technicians or in a technical environment.
- Knowledge of analytical instrumentation is a plus.
- Excellent communication and interpersonal skills.
- Ambition and ability to problem solve
Work Arrangement
- Initial Phase: Full-time on-site in Minneapolis, MN.
- After Training: Transition to a hybrid work schedule.
