Account Overview

Manage day-to-day client activities for assigned facilities, serving as the primary Real Estate liaison between Management, End-Users, Landlords, and Third-Party Vendors. Function as a key leadership role in the management of Client Assets with focus on superior customer service and effective stakeholder relationships.

Principal Accountabilities

Facility Management

  • Proactively manage all facility services in accordance with JLL account and client standard processes, ensuring superior customer satisfaction

  • Coordinate operational aspects of properties to protect, maintain and improve the value of client's assets

  • Ensure all site management and operations practices comply with JLL and client standards

  • Implement preventive, ongoing and anticipated maintenance/repair programs

  • Manage facility services including Space Management, Audio-Visual, Physical Security, and Project Management

  • Develop and maintain Emergency Action Planning and client initiatives for Workplace Operations

  • Management of CMMS and Asset Mgmt.

Financial Management & Reporting

  • Develop and manage facilities operating budgets for assigned portfolio, proactively tracking variances and managing within target

  • Perform monthly reporting, forecasting and asset management on all sites

  • Plan and manage financials within budget and time constraints

Vendor & Contract Management

  • Manage third-party vendor contracted services as required, including periodic bidding and insurance updates

  • Identify additional efficiency opportunities consistent with client goals

  • Oversee multiple vendors and small capital projects

  • Coordinate vendor relationships and service delivery across portfolio

  • Function as Contract & COI Manager for assigned branches

Administrative & Team Coordination

  • Review and submission of vendor invoicing

  • Attend both client and internal meetings as required, along with weekly client rapport for Portfolio updates

  • Serve as backup to Facility Manager for coverage

  • Rent Statement (ancillary review) for assigned locations and approvals in conjunction with lease admin.

  • Assist in all property audits and ensure compliance with accounting standards

  • Handle ad hoc requests

  • Provide 24/7 on-call availability for facility emergencies

  • Management and implementation of SOPs, Processes, records retention and Organization for accurate records keeping

  • Coordinate amongst Client interdepartments for seamless service delivery

This is a full-time, onsite position located out of a Client Site in Chicago, IL

Planning and Organizing - ability to organize and prioritize multiple tasks, manage financials within constraints, and coordinate multiple vendor relationships

Adaptability - effectively manage through stressful situations and consistently make high-quality decisions in varying environments

Qualifications
  • Bachelor's degree or equivalent facilities or property management experience.

  • 5+ years of facilities management or operations experience. Knowledge of building systems, HVAC, electrical, mechanical and services, required.

  • Certified Facility Manager (CFM) or other professional licenses or certification a plus.

  • Superior client relationship management skills.

  • Ability to plan and manage financials within budget and time constraints.

  • Experience with managing multiple vendors and small capital projects.

  • Computer proficiency with MS Office and Computerized Maintenance Management System (CMMS).

  • Excellent interpersonal, communication and organizational skills.

  • Understanding commercial leases and routine accounting methods

  • Travel to sites within assigned area required.

Estimated compensation for this position:

90,000.00 - 95,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
