JOB DESCRIPTION AND POSITION REQUIREMENTS

The Lambert Undergraduate Advising Center at Penn State Harrisburg is seeking a student-centered part-time Staff Assistant. The Staff Assistant will work closely with academic advisers and campus partners to coordinate scheduling, maintain records, support New Student Orientation, and assist with daily operations of the Advising Center. This is a fully in-person opening working 24 hours per week throughout the year.

The Advising Center strives to be an inclusive unit that embraces the diverse student, staff, and faculty backgrounds and experiences at our campus. The successful candidate for this opening will be able to articulate the importance of diversity, equity, inclusion, and belonging in their work.

Job Duties
  • Serving as the first point of contact for students and visitors entering the Advising Center.
  • Managing a high volume of phone and email communication.
  • Making appointments between students and advisers on Starfish, the university's student success platform.
  • Supporting New Student Orientation by completing select administrative tasks.
  • Identifying information and making select record changes in LionPATH, the university's information system.
  • Supporting logistics of Advising Center staff meetings and internal events.
  • Maintaining staff calendars.
  • Referring students and visitors to the appropriate staff member, office, or department as needed.
  • Performing accurate data entry and record maintenance.
  • Submitting room reservations, maintenance, and IT work order requests.
  • Managing the scanning, copying, filing, and retention of documents.
  • Monitoring and updating inventory.
  • Performing other administrative duties assigned.
Requirements and Qualifications
  • Associate's degree or higher.
  • 1-3 years of administrative support or related experience.
  • Strong organizational, communication, and interpersonal skills.
  • Excellent customer service skills.
  • Ability to efficiently manage multiple tasks.
  • Ability to work effectively in a team-oriented environment.
  • Commitment to diversity, equity, inclusion, and belonging in a student services setting.
  • Basic computer skills.
  • Proficiency in Microsoft Office365.
  • Experience in Starfish and PeopleSoft a plus.
