Foundation Gift Administrator

Job Summary

This position is hybrid and must be in the office 3 days a week

The Gift Administrator is responsible for accurately processing, recording, and acknowledging all philanthropy contributions. The role ensures the integrity of donor records, compliance with internal policies and external regulations, and timely stewardship of donors. tracking and analysis. Ensures adherence to quality standards and reviews project deliverables.

Essential Functions
  • Accurately process all charitable contributions (checks, credit cards, online gifts, securities, pledges, matching gifts, etc.) in CRM and other software systems.

  • Ensure coding of gifts aligns with donor intent, campaigns, funds, and appeals.

  • Generate and distribute gift receipts, acknowledgment letters, and pledge reminders in a timely manner.

  • Maintains accurate and up-to-date donor records, including contact information, giving history, and relationships.

  • Assists in generating reports, mailing lists, and queries.

  • Respond to donor inquiries with professionalism and confidentiality.

  • Performs regular data audits to ensure integrity and consistency across the systems.

  • Actively participates in safety initiatives and risk mitigating measures where appropriate and completes all position and unit safety related competencies and requirements on a timely basis.

Qualifications

Required

  • High School diploma or equivalent

  • 2years of relevant experience in gift processing with preferred proficiency in non-profit database software, finance, philanthropy, fundraising, healthcare, or related experience

Preferred

  • Associate's degree in finance, business, philanthropy or related field

  • Strong computer skills
