Project and Member Relations Coordinator - Rural Health Services

GENERAL SUMMARY:

Provides project management and membership support to the Bryan Rural Division (Rural Division), Bryan Critical Access Hospital (CAH) Network and Heartland Health Alliance (HHA) members. Proactively and independently anticipates the needs and assists with planning and completion of related projects. Leads events and projects aligned with the Rural Division strategic plan and annual goals. Assists with HHA and Rural Division education and event planning. Oversees registration platforms, program evaluation and delivery of programs and acts as a general technology service resource. Responsible for marketing and promotion of Rural Division and HHA services.

PRINCIPAL JOB FUNCTIONS:

1. *Commits to the mission, vision, beliefs and consistently demonstrates our core values.

2. *Consults with stakeholders to develop presentations, memorandums, communications, decision documents, evaluations and other reports tailored to the audience and objective.

3. *Coordinates meetings, committees, and projects as assigned; develops agendas, prepares materials, records minutes, and shares own experience, analysis, and recommendations while supporting inclusive and respectful dialogue.

4. *Oversees member relations to ensure the highest possible standards of quality and efficiency. Responsible for gathering feedback from members, sharing with team and modifying processes and services as appropriate.

5. *Completes a variety of special projects including creating presentations, financial spreadsheets, special reports, and agenda material.

6. *Facilitates the development and maintenance of projects, project plans, schedules, progress reports, and data files for the team. Provides additional support on analytics and special reports, as needed.

7. *Completes accounting and recording of financial transactions.

8. *Develops, plans and executes promotions, communication, and long/short-term brand development strategies for Rural Division, and members of the CAH and HHA.

9. *Consults with project owners to develop and maintain charters, registries, progress reports, data files, schedules, and improvement plans.

10. Assists in developing and coordinating conferences and programs to best serve the organization and HHA and provides general technical support for programs and reports on the value of the programs offered.

11. *Designs and distributes marketing communications internally and externally for programs and events. Develops quarterly newsletter communications on behalf of the organization and HHA.

12. *Inventories, orders and coordinates office supply purchases and deliveries with appropriate departmental and supply personnel.

13. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.

14. Participates in meetings, committees and department projects as assigned.

15. Performs other related projects and duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

1. Knowledge of computer hardware equipment and software applications relevant to work functions.

2. Knowledge of the business of healthcare and the structure and functions of a hospital/medical center system.

3. Knowledge of safety, quality and continuous improvement principles, methods, and processes/tools.

4. Skill in proficient use of Microsoft Outlook, Teams, Word, PowerPoint, Excel, and SharePoint.

5. Skill in audio/video conferencing software and hardware.

6. Skill in project management.

7. Skill in creating clear and concise reference guides for users.

8. Ability to apply systems thinking to analyze situations and problems.

9. Ability to problem solve and engage independent critical thinking skills.

10. Ability to compile, interpret, and maintain data, presentations, calendars and plans.

11. Ability to facilitate meetings with teams or committees.

12. Ability to communicate effectively both verbally and in writing.

13. Ability to establish and maintain effective working relationships with all levels of personnel.

14. Ability to prioritize and balance multiple responsibilities, actions and projects with minimal supervision.

EDUCATION AND EXPERIENCE:

Bachelor's degree in business administration, healthcare administration or related field of study required. Minimum of four (4) years' experience performing administrative or project functions required. Experience leading detailed and complex projects required. Prior experience in a comparable position in a healthcare setting preferred.

PHYSICAL REQUIREMENTS:

TRAVEL REQUIREMENT:

Travel required 2-5 days per month, within 120-mile radius including night or early morning meetings as needed.
