The HR Coordinator plays a pivotal role in supporting the Human Resources department by ensuring smooth daily operations, nurturing a positive workplace culture, and maintaining efficient administrative processes. This position acts as the cornerstone for multiple HR functions, working closely with employees at every level and serving as a reliable resource for HR policies, procedures, and programs. Collaborating with HR managers, recruiters, payroll and communications teams, and organizational leaders, the HR Coordinator also supports company-wide initiatives such as sustainability and social responsibility. DUTIES & RESPONSIBILITIES
  • Recruitment Administration: Support job postings, ensure excellent experience for candidates and hiring managers throughout the process.
  • Onboarding and Offboarding: Refine/develop onboarding guidelines/standard operating procedures and materials (videos, handouts, presentation, checklist, resource guide) for hiring managers and new hires; Ensure Workday is updated with applicable onboarding elements.
  • Benefits: Assist with Benefits Open Enrollment and monthly wellness communications.
  • Compliance and Policy Adherence: help communicate policy updates.
  • HR Projects and Initiatives: Participate in HR programs such as employee engagement, wellness activities, training, and other organizational priorities; Liaise with HR business partners to support requirements for work visas
  • Communication: Draft HR-related communications, memos, and announcements. Maintain bulletin boards, post on the intranet, and distribute updates about HR events and organizational news; Update HR SharePoint page/materials, solicit feedback/suggestions from HR Business Partners.
  • Internal Communications: Coordinate and disseminate internal communications about HR policies, organizational changes, benefit updates, and company-wide initiatives. Manage information flow through newsletters, email, intranet, and meetings. Collect employee feedback on communications and help enhance engagement and transparency.
  • Sustainability Support: Collaborate with HR and sustainability teams to promote and support company-wide environmental and social responsibility initiatives. Help ensure HR practices align with the company's sustainability goals and encourage employee involvement in related efforts.
QUALIFICATIONS
  • Bachelor's degree in Human Resources, Business Administration, Communications, or a related field, or equivalent professional experience.
  • 1-3 plus years of experience in HR, administrative, communications, or customer service roles.
  • Outstanding organizational skills and attention to detail.
  • Excellent written and verbal communication skills, with the ability to engage effectively across all levels of the organization.
  • Familiarity with HR principles, labor laws, and best practices.
  • Ability to handle sensitive information with discretion and integrity.
  • Proficiency in Microsoft Office Suite and HR information systems (HRIS); experience with applicant tracking and communications platforms is an asset.
  • Strong customer service orientation and analytical problem-solving abilities.
  • Interest in sustainability and social responsibility initiatives is an advantage.
