Student Financial Assistance

Job Description

The Business Support Specialist II provides high-level administrative and operational support to the Student Financial Services Office. This position ensures the smooth day-to-day functioning of the office by managing calendars, coordinating events and office activities, monitoring budgets, and maintaining supplies and inventory. The Specialist serves as a key liaison within the department and across campus, supporting efficient office operations and enhancing the student service experience.

Key Responsibilities:

  • Office Operations & Administrative Support:
    • Oversee daily office operations to ensure a professional, organized, and welcoming environment
  • Calendar & Meeting Management:
    • Manage calendars for department leadership, including scheduling appointments, meetings, and travel arrangements
    • Prepare agendas, coordinate meeting logistics, and document meeting notes as needed
  • Inventory & Supply Management:
    • Maintain and order office supplies, equipment, and printed materials
    • Monitor inventory levels and ensure timely replenishment to avoid service disruptions
    • Track usage trends and recommend adjustments to improve efficiency and cost savings
  • Event & Activity Coordination:
    • Coordinate logistics for departmental events, outreach activities, and student workshops
    • Reserve spaces, arrange catering and materials, and ensure event timelines are followed
    • Collaborate with campus partners and vendors as needed
  • Budget Monitoring & Reporting:
    • Monitor departmental operating budgets, track expenditures, and reconcile accounts
    • Assist with budget planning by preparing reports and identifying spending trends
    • Support processing of purchase orders, invoices, reimbursements, and vendor payments
  • Other Duties:
    • Serve as point of contact for internal and external communications, routing inquiries and information appropriately
    • Support Onboarding and training logistics for new staff or student workers
    • Perform related duties as assigned
Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $17.05 to $18.50 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
