Overview of this Position:

The Executive Assistant provides professional front desk reception services and high-level executive administrative support. This individual serves as the face of the office while also acting as a trusted partner to leadership. They coordinate critical executive logistics, manage internal and external communications, and support Business Development in planning and executing client visits and on-site experiences. This is an on-site role.

Non-Negotiable Requirements:

  • Bachelor's Degree or equivalent professional experience
  • Minimum 5 years of experience in an executive assistant, office manager, or high-level administrative support role
  • Experience supporting senior executives and managing sensitive, confidential information
  • Must have proficient computer skills in Microsoft Word, Excel, PowerPoint, and Outlook.

Responsibilities Include (but are not limited to):

  • Greet and welcome guests in a professional and friendly manner at the front desk.
  • Answer and route incoming calls and messages.
  • Coordinate with Security to maintain visitor logs and manage guest access.
  • Provide administrative support to executives, including calendar management, travel arrangements, expense tracking, and document preparation.
  • Draft communication on behalf of the leadership team.
  • Coordinate logistics for client visits: order catering, book conference rooms, ensure technology set up and cleanliness.
  • Assist with internal event coordination as needed.
  • Manage office supply inventory and front office organization.
