Job Summary

The Executive Assistant (EA) to the Vice Dean and Associate Dean for Administration and Finance is authorized to manage multiple commitments and responsibilities including managing their schedules, communications and follow-through on action items. The EA facilitates or limits access to the executive with tact, discretion, and judgment of the highest standard. The incumbent provides administrative oversight in overseeing the executive's activities to determine priorities, act as a liaison and coordinate communications and pertinent data among a group of the executive's subordinate management staff. The EA handles details and oversees work of a highly confidential and critical nature to support the executives. The EA is expected to assume a deep level of responsibility, with only general direction, with respect to the day-to-day operations of the Vice Dean and Associate Dean.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $87,000 - $130,500 (Annual Rate).

Department Description

The UCSF Vice Dean's Office of the School of Medicine (SOM) located at Zuckerberg San Francisco General Hospital and Trauma Center (ZSFG) serves as a primary point of contact with the School of Medicine, the University, ZSFG executive administrative and medical leadership, the SF Department of Public Health (DPH), all levels of campus administrators and the public. The Vice Dean's Office provides support to 19 UCSF Departments with approximately 2,500 UCSF Personnel and approximately 900 Residents, Fellows and Medical Students rotating at ZSFG.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3 years prior experience supporting executives
  • High degree of well-developed ability to identify, gather, and convey information and different perspectives accurately, appropriately, and on a timely basis.
  • Demonstrated executive level analytical support and experience.
  • Ability to quickly integrate complex and sophisticated recommendations.
  • Strong verbal and writing skills with ability to communicate effectively with all levels of internal and external constituencies.
  • Ability to be proactive about communicating with many people in various levels
  • Ability to multi-task within demanding timeframes.
  • Ability to use high-level discretion and maintain a high level of confidentiality.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization and external constituencies.
  • Demonstrated solid analytical / problem-solving skills.
  • Advance knowledge of MS Word, Excel, Outlook, PowerPoint and Access with proven ability to use tools as an efficient and effective means of preparing and presenting project outcomes is essential
  • Demonstrated ability to function and participate effectively as part of a collaborative team.

Preferred Qualifications


  • Extensive knowledge of health care and medical school business issues and a broader understanding of the external and internal issues that affect all levels of medical education, health care, and research.
  • Experience in an academic environment
  • Experience providing executive support at an academic medical center
