Purpose and Scope Under limited supervision, the Information Specialist serves as the primary point of contact for students, visitors, and callers. This role is responsible for delivering exceptional customer service, providing accurate campus information, and supporting administrative functions that enhance student and guest experiences which require an extensive knowledge of campus activities.

Requirements

General Duties and Responsibilities: Typical duties will include, but are not limited to:
- Provide exceptional customer service as the first point of contact for students, visitors, and community members, ensuring a welcoming and helpful experience.
- Proactively acquire and share up-to-date information about campus events, services, and programs.
- Triage all incoming calls and walk-in inquiries to determine if assistance can be provided at the front desk or should be referred to another department.
- Handle inquiries received via phone, email, or web platforms in a professional and timely manner.
- Provide accurate information regarding class schedules, events, and room reservations.
- Maintain a professional, welcoming, and organized front desk area.
- Schedule appointments for Student Success staff and other departments as needed.
- Schedule and reserve campus rooms for classes, meetings, and events.
- Distribute interoffice mail and prepare outgoing mail.
- Type and prepare memos, reports, and other documents as needed.
- Assist with planning and supporting campus events and student success initiatives.
- Proactively engage in campus functions and cooperate with staff to ensure smooth operations.
- Demonstrate a commitment to learning about campus systems and resources to better assist and support student and visitor needs.
- Maintain awareness of front desk coverage needs and support flexible scheduling, including evenings and weekends.
- Provide technical support for student account setup, including email, Canvas, and MyENMU Portal login.
- Assist students with basic navigation of online resources such as applications and payment portals.
- Willingly participate in campus committees and other cross-functional support efforts.
- Perform other duties as assigned.
Minimum Job Requirements:
Required:
- High school Diploma or GED
- Proficient computer, internet and multi-line telephone skills, including working knowledge of Microsoft Suite
Preferred:
- 1-year Front Desk Receptionist experience
- Associate's degree in a related field
- Bilingual
Knowledge, Skills and Abilities:
- Ability to learn and apply campus policies and procedures
- Ability to establish and maintain cooperative working relationships with the College community and campus visitors
- Ability to gather and analyze data necessary for informed decisions involving the community, students and employees.
- Skills in interpersonal communication are needed.
Must have the ability to read and write at a level appropriate to the duties of the position; to follow oral and written directions; to understand and follow safety procedures; to operate and use standard office equipment.

Working Conditions

Physical Demand and Working Conditions: Work is sedentary in nature and at times requires exerting up to 10 pounds of force occasionally and/or a consistent amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Work is performed during normal business hours, with evenings and weekends.
