POSITION SPECIFICS

The Donald P. Bellisario College of Communications at Penn State is seeking an Executive Assistant to support the operational activities of the Dean's Office. This highly visible position will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Dean and requires exceptional discretion, judgment, and organizational skills.

The Executive Assistant will coordinate a wide range of complex and confidential responsibilities in support of the Dean's leadership role and serve as a key liaison with University and College administrators, faculty, staff, students, alumni, and external stakeholders. The successful candidate must demonstrate a commitment to professionalism, outstanding customer service, and an aptitude for navigating a dynamic academic environment.

Responsibilities include, but are not limited to the following:

  • Serve as the initial point of contact on behalf of the Dean for inquiries and issues, including those of a sensitive or confidential nature.
  • Represent the Dean in communication and coordination with internal departments, outside agencies, and academic consortia.
  • Provide high-level administrative support, including scheduling, preparing meeting materials, and briefing the Dean in advance of appointments.
  • Oversee the Dean's complex travel arrangements, often involving multiple destinations.
  • Manage and maintain confidential documents, data, and processes such as faculty promotion and tenure, sabbatical leaves, and senior-level administrative searches.
  • Support College-level committees such as the Promotion and Tenure Review Committee and coordinate related processes and documentation.
  • Coordinate the timely flow of information across College departments and to University leadership.
  • Manage complex projects, events, and programs
  • Act as a proxy approver for personnel, budget, and expenditure documents in collaboration with the College's budget administrator.

The successful candidate will demonstrate:

  • Strong critical thinking, organizational, and multitasking skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and oral communication skills with a high degree of professionalism and confidentiality.
  • Experience working independently as well as collaboratively with administrators, faculty, staff, and external partners.
  • Proficiency in using technology-driven tools and systems to support administrative processes.
  • A commitment to fostering a welcoming and inclusive environment for all constituents.

Work Arrangement: This is an in-person role and will operate from the University Park campus.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Bachelor's Degree 6+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $61,800.00 - $89,600.00.
