A Brief Overview

Responsible for auditing and control of department support functions including non-clinical staffing, requests for medical records, inventory and purchasing of supplies and equipment, processing invoices and purchase orders, and completion of documents and spreadsheets. Develops standards and holds staff accountable including customer relations, office policies and procedures, and orienting staff. Assists with the design and implementation of departmental initiatives to improve processes and efficiencies. Assists with the implementation of UH enhancements and initiatives, including EMR and scheduling platforms. Works independently to prioritize work/deadlines. Determines methods and procedures to resolve problems.

What You Will Do



  • Sets daily operational priorities, evaluates daily workflow and assigns work. Ensures that duties are carried out according to UHPS policies and procedures. Direct supervision of assigned administrative support staff. Schedules staff and ensures coverage of support services within the practice. Approves overtime, vacation, and time-off requests of assigned administrative support staff. Conducts or coordinates regular office staff meetings. Acts as Kronos Timekeeper.
  • Supervises, selects, recruits, and builds a strong administrative team. Orients and trains new and current staff on office protocols and job responsibilities. Coaches staff to maximize customer experience. Maintains documentation related to employee performance and communicates performance-related issues to the Administrator. Collaborates with other supervisors for the planning of continuing education and cross-coverage for office staff. Completes performance reviews of staff. In collaboration with HR, makes decisions regarding hiring, corrective action, terminations, and other HR initiatives. Promotes, builds, and ensures positive customer relationships. Troubleshoots and resolves issues. Updates the Administrator of significant activities.
  • Collaborates with department Administrator for revenue enhancement/expense reduction initiatives.
  • Collaborates with department Administrator and supervisors to assess, design, and implement programs and processes to increase the efficiency and effectiveness of the practice. Helps to implement UHPS and IT initiatives and coaches direct reports through the implementation of projects.
  • Supervises the maintenance of the department clinical schedule and provider's days out.
  • Collaborates with the Administrator to assist with physician onboarding and orientation schedule.

  • Must abide by all requirements to safely and securely maintain Protected Health Information (PHI) for our patients. Annual training, the UH Code of Conduct and UH policies and procedures are in place to address appropriate use of PHI in the workplace.
