What you'll do:

As an Appraisal Department Administrator, you will play a vital role in supporting the daily operations of the Appraisal Department, the Chief Appraisal Officer, Valuation & Environmental Directors, Appraisal Operations Managers, and members of the department staff. This position is responsible for coordinating administrative functions, ensuring compliance with regulatory standards, and facilitating effective communication across internal teams. Key responsibilities include performing financial tasks such as general ledger (GL) reconciliation, processing vendor invoices, setting up new vendors, and assisting team members with IT-related requests. The ideal candidate will demonstrate exceptional accuracy, attention to detail, and strong communication skills, while effectively managing multiple priorities in a fast-paced, professional environment. Confidentiality and a proactive approach to problem-solving are essential for success in this role.
  • Complete the monthly GL reconciliation for the Appraisal Department and generate monthly/year end general ledger (GL) reconciliation reports for accounting.
  • Process invoices for timely payments to vendors and external contract reviewers.
  • Responsible for creating and maintaining vendor files for approved commercial and residential appraisers, and environmental consultants, noting the business footprint and area of expertise of each.
  • Submit expense reports and make travel arrangements for team members.
  • Responsible for maintaining the Business Continuity Plan and completing Disaster Recovery exercises.
  • Provide appropriate assistance to internal bank employees and external vendors, in person, over the telephone, and via e-mail. Utilize intranet interface (OSCAR) and other platforms, to ensure distribution of forms and reports. Create and maintain various forms and contracts required to facilitate the appraisal and environmental due diligence ordering, reviewing, and reporting functions.
  • Performs other duties and participates in special projects as assigned by management.

What you'll need:

  • Education: High school diploma required; Bachelor's degree in a related field preferred.
  • Financial Knowledge: Intermediate understanding of accounts payable, accounting principles, and general ledger (GL) reconciliation.
  • Banking Operations: Familiarity with general banking functions, including deposit operations, loan administration, treasury management, and other commercial banking products and services.
  • Regulatory Compliance: Working knowledge of relevant regulatory and legal compliance requirements, industry standards, and best practices.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with Oracle and ImageCentre preferred.
  • Industry Experience: Minimum of 2 years of related experience in commercial appraisal or real estate preferred.
