Position Overview
The Dole Institute of Politics (DIOP) celebrated the 20th anniversary of its founding as an institute dedicated to the promotion of political and civic participation as well as civil discourse in a bi-partisan, balanced manner in 2023. As we begin our next 20 years, we are looking for an experienced Digital Projects and Metadata Coordinator.

By providing a forum for discussion of political and economic issues, fostering public service leadership, and encouraging participation in the political process, the Institute emphasizes that politics is an honorable profession and provide opportunities for all to interact with political leaders, practitioners and authors. The Dole Institute also emphasizes that only through political and civic participation can citizens redirect the course of our nation.

Senator Bob Dole's legacy at the University of Kansas was established in 1997 upon the gift of his papers to KU. The Robert J. Dole Institute of Politics was dedicated in 2003 in KU's West District and became home to the Senator Elizabeth Dole legacy upon the gift of her papers in 2017.

The Dole Institute is home to a museum dedicated to the legacies of Senators Bob and Elizabeth Dole, featuring the largest stained-glass American flag in the world, a memory wall dedicated to Kansas veterans of WWII, and the recently renovated Elizabeth Dole Gallery and Reading Room.

The Robert and Elizabeth Dole Archive and Special Collections department is responsible for collections, research, and exhibits at the Dole Institute. Both Senators' personal papers and congressional materials are publicly available for research, attracting scholars from all over the world.

The Dole Institute of Politics invites applications for the position of Digital Projects and Metadata Coordinator, a 15-month term position to support our continued participation in the American Congress Digital Archives Portal (ACDAP) project.

ACDAP is a collaborative national project led by West Virginia University Libraries to make congressional archives available online. The position is funded through a $1.5 million award to the project from the National Historical Publications and Records Commission.

Under the supervision of Assistant Archivist for Digital Initiatives, the Digital Projects and Metadata Coordinator is responsible for overseeing digitization and metadata creation for the Dole Institute's contributions to the American Congress Digital Archives Portal.

Job Description
Project Management 60%
  • Ensure preparation and delivery of Dole Archives material for inclusion in the Portal through effective project management, including:
    • Understanding and implementing existing workflows, and assisting with evaluating and improving workflows moving forward to more effectively accomplish grant objectives
    • Training, supervising, and reviewing student transcription, digitization, and metadata work for digital photographs, documents, audio, and video
    • Working with archives staff to coordinate and manage any materials sent off site for digitization
    • Ingesting, reviewing, and publishing items and metadata in Omeka-S and other digital platforms
    • Cleaning data and sending project deliverables to the Portal
  • Communicate and coordinate with Portal project partners, attend working group meetings and meet regularly with relevant Dole Archives staff
  • Assist Archives and Education staff with development of educational materials related to the ACDAP project
  • Assist with public outreach for the Portal
  • Complete regular reports and maintain accurate statistics
Collections 20%
  • Assist collaboratively with reference requests, both internal and external, and perform reading room supervision as needed or assigned
  • Assist with ongoing digital systems migration, to aid in more efficient delivery of materials to the Portal
  • Assist with managing digitization processes such as scanning and photography
  • Assist with organization and inventory of digital files, collections, & records
  • Assist with management of collection systems
  • Assist with testing new software and tools
Supervision 20%
  • Train and supervise students on digitization, transcription, and metadata workflows
  • Delegate appropriate responsibilities and monitor work output.

Required Qualifications
  1. Bachelor's degree from an accredited institution and at least one year of relevant work experience.
  2. Experience digitizing archival, library, or other historical materials as evidenced by application materials.
  3. Demonstrated experience creating metadata utilizing content standards such as Dublin Core.
  4. Superior attention to detail as demonstrated by application materials.
  5. Experience with design and document applications, such as Adobe Creative Cloud (Acrobat, Photoshop, and InDesign).
  6. Excellent written communication skills as evidenced by application materials.
  7. Work experience that required working in a team environment as evidenced by application materials.

Preferred Qualifications
  1. Masters degree from an ALA-accredited instituion library school or equivalent and one year experience working with digital archives, data science, metadata, or similar.
  2. Experience with or managing digitization and metadata creation workflows as evidenced by application materials.
  3. Experience leading a team or managing and training students/interns as evidenced by application materials.
  4. Experience with project management.
  5. Demonstrated experience with Omeka-S, ArchivesSpace, Islandora, and Archon as evidenced by application materials.
  6. Demonstrated knowledge of metadata and content standards and archival best practices (DACS, EAD, Dublin Core, MODS) as evidenced by application materials.
  7. Experience working with congressional or political archives as evidenced by application materials.
  8. Experience with APIs, data cleaning tools such as OpenRefine, relational databases, and/or automated workflows as evidenced by application materials.
  9. Familiarity with web accessibility standards and guidelines as evidenced by application materials.
  10. Interest in congressional history as evidenced by application materials.
