Fleet Compliance Coordinator

Purpose
The fleet compliance coordinator position is responsible for ensuring that the company's fleet and maintenance facilities are compliant with federal, state, and local regulations by maintaining adherence to internal policies, managing reporting requirements, and coordinating inspections and testing as needed.

Focus & Scope
Essential duties and responsibilities, i.e. those which are basic, necessary, and an integral part of the job, are indicated below:
  1. Support the development, implementation, and maintenance of the company's fleet compliance programs and databases to ensure adherence to all applicable federal, state, and local regulations.
  2. Maintain and update fleet-related databases, ensuring data accuracy and timely reporting.
  3. Collaborate with operations, safety teams, drivers, and third-party vendors to ensure compliance with state requirements, including HD I/M testing and reporting.
  4. Assist in managing reporting requirements for off-road (DOORS) and on-road (TRUCRS and Clean Truck Check) fleet assets.
  5. Provide support to the Compliance Manager in guiding business units on maintaining compliance with Air Resources Board (ARB) programs.
  6. Assist in the development and execution of internal compliance processes, controls, and self-audit protocols to identify and mitigate regulatory risks and improve program effectiveness.
  7. Perform administrative duties related to mobile equipment compliance, including data tracking, documentation, and reporting.
  8. Coordinate with operations teams and external providers to schedule onsite and remote OBD (On-Board Diagnostics) testing.
  9. Manage the renewal process and invoice tracking for Portable Equipment Registration Program (PERP) assets.
  10. Assist the Fuel Station Manager with chemical inventory management and ensure accurate, timely reporting within the California Environmental Reporting System (CERS) database.

Role Qualifications & Requirements

Education:
  • Associate's degree or equivalent combination of training, education, and experience.
Experience and Industry Expertise:
  • Three to five (3-5) years of experience in general compliance, fleet transportation, or environmental reporting preferred
  • Prior experience in Safety, Transportation, Environmental, or Risk Management fields a plus

  • Exceptional attention to detail and accuracy; self-motivated with a strong desire to learn, problem-solve, and grow professionally.
  • Excellent written and verbal communication skills, with the ability to effectively convey information and collaborate across all levels of the organization and with external stakeholders.
  • Strong organizational and time-management skills; able to prioritize tasks and perform effectively under pressure, shifting priorities, and tight deadlines.
  • Demonstrated problem-solving capabilities with a track record of delivering practical, creative solutions and consistent follow-through.
  • Experience developing and delivering effective training materials in both in-person and virtual group settings.
  • Strong project management skills with proficiency in Microsoft Office Suite, especially Excel and database tools, and the ability to quickly learn new software.
  • Collaborative team player with the ability to thrive in a matrixed management structure.
  • Working knowledge of federal and California environmental and transportation regulations (e.g., CARB, DOT, PERP).
  • Commitment to workplace safety and support of corporate safety initiatives.
  • Willingness to adhere to the Company Code of Conduct consistently.
  • Experience in the construction or construction materials industry preferred.
  • Travel occasionally as required.

Equipment Used, Physical Demands, and Work Environment

Equipment Used:
  • General office equipment, telephone, automobile, personal protective equipment (i.e. safety glasses, hearing protection) when necessary.
Physical Demands & Work Environment: The physical demands and work environment characteristics are representative of those that must be met by an employee to successfully perform the essential functions of this job.   • Physical: Sitting for long periods of time working on the computer or attending meetings. Job site visits require walking on uneven ground, steep slopes, and exposure to extreme temperature and/or humidity. Some lifting materials and equipment up to 25 lbs.
  • Work Environment: Typical office environment with adequate temperatures and lighting, low levels of noise. Demands of meeting tight deadlines. Exposed to the conditions of job sites which can include loud noise, dust, fumes, and extreme weather conditions prevalent at the time. May work various hours, including early mornings, dusk or evenings.

HOURLY BASE SALARY RANGE:
$34.46 - $48.24
The range displayed reflects the range the company reasonable expects to pay for the position. The actual base salary is subject to variation due to the role, level, geographic location, relevant education, training, or experience, among other factors.
