Practice Coordinator
Job Summary The anticipated duration of this temporary assignment is approximately 19 weeks; will be 100% on-site at our Parnassus campus. Please note: career potential! Job Summary: The UCSF Dental Center is a cohesive entity within the UCSF School of Dentistry, focused on delivering seamless, patient-centered care while supporting advanced clinical education and reinvestment in clinical excellence. The Practice Coordinator 2 (PC2) serves as the public face of the UCSF Dental Clinics, operating within a high-volume call center environment. This 100% phone-based role plays a key part in achieving service standards-specifically answering 70% of incoming calls within 30 seconds. The PC2 contributes directly to patient access and satisfaction while supporting daily operations across multiple administrative functions.
Key Responsibilities:
Department Description UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
Required Qualifications
Education & Experience:
High school graduate or equivalent with four years of related experience; OR college degree with six months of related experience; OR an equivalent combination of education and experience
Technical Skills:
Strong computer skills, including basic keyboarding Experience with at least two Office-type software programs (e.g., Outlook, Word, Excel) Proven ability to navigate multiple patient records systems Able to sit at a computer terminal with telephone headphones for extended periods
Analytical & Decision-Making Abilities:
Ability to analyze situations, prioritize tasks, develop solutions, and make recommendations Ability to work independently with minimal supervision Good judgment under pressure and deadlines
Communication & Interpersonal Skills:
Excellent customer service and interpersonal communication, both by phone and in person Ability to interact effectively and sensitively with a diverse population, including patients
Other Required Skills:
Basic math skills Strong organizational and problem-solving abilities Strong writing skills (compose, edit, and proof documents) Demonstrated administrative and office coordination skills Knowledge of medical practice terminology
Proficiency Expectations (within six months of start date): Supervisor to verify completion of training via proficiency checklist:
Enter incoming referrals and manage referral work queues Pend orders and smart sets Schedule surgeries Manage applicable work queues Utilize CRM for messaging and second calls (if applicable) Handle telephone encounters Review and act on My Open Encounters Use staff and new message functions Route patient advice requests (via MyChart) Manage patient schedules (MyChart) Generate and manage letters Utilize pools Perform patient look-up Execute check-in and check-out processes Use comment field and quick note Perform document scanning
Preferred Qualifications
Demonstrated experience in health care (medical, dental, or veterinary) in one or more of the following areas:
Prior experience with:
Bi-lingual or multi-lingual capability strongly preferred (especially Spanish, Cantonese, or Russian) At least 6 months of experience with Epic electronic health record strongly preferred, or 1 year of experience with another electronic health record system Minimum 1 year of experience in a high call volume clinic strongly preferred, and/or department with complex scheduling or customer service requests
License/Certification
- Must successfully pass fingerprinting protocol
- Must be approved to be a cash collector
