Job Summary

UCSF has policies and procedures that were developed to ensure compliance with UCSF data governance, which is guided by HIPAA Law and Federal Regulations for accessing patient records. The Intake Coordinator position supports the Clinical Data Research Consultant team and Researchers by applying UCSF's policies to electronic medical record data requests. The Intake Coordinator must have excellent organizational skills and the ability to quickly adopt skills in multiple tracking systems. The key responsibility of the role is to support clinical faculty and researchers in the data acquisition process and, under the guidance of the Clinical Data Research Consultant Manager, ensure compliance requirements are met before each request is submitted for fulfillment.
The incumbent must be able to evaluate study protocols, approved by UCSF's Internal Review Board, to ensure study teams have appropriate approval to receive the data that they are requesting. The incumbent must have superb communication skills and maintain strong customer relationships with researchers and faculty. The incumbent will capture and analyze data related to our group's key services, identify areas for procedural improvements. and help maintain dashboards with request metrics.
The Intake Coordinator will join a diverse and highly technical team. The position provides a unique exposure to the broad range of research in UCSF's overarching mission to advance health.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $62,500 - $93,800 (Annual Rate).

Department Description

UCSF Department of Information Technology Academic Research Systems group is chartered to provide data services and infrastructure which supports clinical researchers computing and analytic requirements. Its services include providing data sets from clinical systems to researchers, the development support and maintenance of UCSFs secured environment (Research Analysis Environment and REDCap).

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training.
  • Working knowledge of common organization- or research-specific and other computer application programs.
  • (Smartsheet, REDCap, ServiceNow, WindowsExplorer, MS Office)
  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing.
  • Proficient in ability to use discretion and maintain all confidentiality.
  • Demonstrates ability to use sound judgment in responding to issues and concerns.
  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.
  • Proficient in ability to multi-task with demanding timeframes.

Preferred Qualifications


  • Working knowledge of applicable policy analysis techniques.
  • One to two years of experience working in or supporting a technical team
