THE POSITION

The Pennsylvania State Police are currently searching for a Clerical Assistant 2 to provide clerical support to the Bureau of Training and Education, including the Northeast and Southeast Training Centers. The incumbent in this position will be responsible for processing Cadet, Municipal Police (MP), Liquor Enforcement Officer (LEO), and Motor Carrier Enforcement Officer (MEO) training classes from the day of enlistment through graduation.

DESCRIPTION OF WORK

The Clerical Assistant 2 in this position establishes and maintains computerized training records for Cadet, LEO, MEO, and MP training classes held at the Academy and Training Centers. This includes the creation of maintenance of personnel and inspection files; input and maintenance of personnel information via Access and Excel programs; update of rosters and grade sheet; preparation of invitations, guest lecture confirmations, various award letters, Commissioner's Inspection Headquarters Directive and related correspondence; and the processing of other required forms (diplomas, Oath of Office, etc.). Responsibilities include processing cadet resignations and conditional medical resignations. This position will process paperwork for the Academy Disciplinary Officer and Assistant Academy Disciplinary Officers by posting weekly formal/unannounced inspections. Prepares correspondence and restriction notices, notes and files inspection failures, and prepares disciplinary statistics for the Director, Training Division. Serves as the certifying school official for the G.I. Bill benefits for veteran cadets and acts as a certifying official for Municipal Police Officers' Education and Training Commission (MPOETC) Instructors. Prepares and processes necessary paperwork required to certify new MPOETC Instructors and to recertify current MPOETC Instructors. Ensures that each certification request is complete, notarized, and signed. Once complete, forwards all certification/recertification requests to MPOETC for them to approve at their monthly board meeting. Attends required MPOETC training to ensure all policies and procedures are being followed within Department regulations.

- Full-time employment.
- Work hours are 8:00am to 4:00pm, Monday - Friday, with a 30-minute lunch.
- Telework: This position is not eligible for telework.
- Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $35,306 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS Minimum Experience and Training Requirements:
- Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- Graduation from high school; or
- An equivalent combination of experience and training.
Additional Requirements:
- Six months or more of experience using Microsoft Word.
- Six months or more of experience using Microsoft Excel.
- Six months or more of experience using Microsoft Access, LibreOffice Base, TeamDesk, MySQL, or SQLite.
- Six months or more experience in handling detailed files.
- You must be able to perform essential job functions.

- You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
