About the Department
Enterprise Application Services ( EAS) is in the Office of Information Technology ( OIT) division at North Carolina State University. EAS is responsible for the design, implementation, operation, enhancement & maintenance of the University's enterprise business applications. This includes: development, operation & maintenance of all enterprise administrative systems (Enterprise Document Management, Financials, HR, Identity & Access Management, MyPack Portal, Student Information, REPORTER, Enterprise Research Administration systems, etc.), enterprise data warehousing and analytics, configuration management, database administration and the maintenance, enhancement, and integration of these systems.
Essential Job Duties
This position is with the Enterprise Document Management ( EDM) team as an IT Analyst - OnBase Administrator. This position streamlines critical business processes, enhances operational efficiency, and provides exceptional customer service and support across campus and central office units. The position requires someone who is experienced in functional business process analysis and technical solution development and uses this expertise to implement software solutions with moderate to advanced complexity with minimal to moderate supervision. Excellent collaborative and team skills are essential to this role in order to meet our strategic goals.
The EDM team directly supports a variety of campus units and critical processes impacting a range of integrated systems (student, financial, human resources, research, advancement, etc.) with functionality including but not limited to extensive and complicated workflows, unity form development, autofill creation and secure document exchange.
Key Responsibilities:


  1. OnBase and Kiteworks Administration:

    • Configure, maintain, and optimize the OnBase system and Kiteworks secure file transfer solution.
    • Perform system upgrades and troubleshooting




  2. Development and System Enhancements:

    • Build enhancements and perform software upgrades to existing designs and implementations.
    • Gather and document customer requirements, perform system analysis and design, and develop technical specifications.



  3. Technical Documentation and Testing:

    • Write and maintain technical specifications and documentation.
    • Conduct system testing, support customer testing and sign-off, and coordinate with technical lead to migrate approved solutions to production.



  4. Customer Support and Training:

    • Address customer support tickets and user security access requests on a daily basis.
    • Provide training and support to campus customer groups



  5. Daily Maintenance and Operations:
    • Perform daily maintenance across multiple environments, ensuring system reliability and efficiency.


  6. Collaboration and Communication:

    • Work closely with other EDM team members to build a strong, cohesive team focused on supporting our campus customers and delivering solutions.
    • Partner with stakeholders to analyze business requirements and design workflows to enhance efficiency and productivity.



  7. Data Management and Security:

    • Ensure the integrity, security, and accessibility of data within the OnBase and Kiteworks systems.
    • Adhere to organizational policies and compliance standards.

Qualifications


Minimum Education and Experience

  • Master's degree and at least one year of relevant experience OR
  • Bachelor's degree with at least two years of relevant experience OR
  • An equivalent combination of education, training and relevant experience

Other Required Qualifications

  • Demonstrated experience with business process automation, design and documentation.

Preferred Qualifications

  • Proficiency with relevant technologies, OnBase API, OnBase Workflow, and Unity form, Reporting Dashboards, OnBase Administration, Module Administration, and KiteWorks.
  • Implementation of enterprise content management (ECM) and reporting solutions, as related to standard project life cycle procedures.
  • Oracle capabilities, including creating SQL queries in Oracle database, as demonstrated by certification in Oracle Database 19C or similar.
  • Programming in .Net, Java, creating web services, JScript libraries and HTML 5; and secure integration of APIs.
  • OnBase certifications are strongly preferred:

    • OnBase Certified System Administrator (OCSA)
    • OnBase Certified API Developer (OCAPI)
    • OnBase Certified Workflow Administrator (OCWA)



  • Excellent verbal and written communication skills in both technical and non-technical subjects.
  • Strong project management, organizational and time management skills with the ability to manage multiple projects concurrently, set priorities, meet deadlines, conduct research into IT issues and products, and to take initiative in the development and completion of projects.
  • Previous experience in a higher education institution.
  • Ability to build consensus among internal and external teams and persuade other decision-makers.
  • Ability to receive and provide constructive criticism when appropriate.
