Schedules, prioritizes, coordinates and performs administrative office support activities related to NA program and student applications; creates documents, reports, correspondence, and/or other communication materials; review and process documents related to student status, health and safety documents; monitor and track compliance, may assist with student placement in courses. The Administrative Specialist Senior will answer phones, prepare correspondence, reports and faculty meeting minutes. Compile and maintain confidential student and faculty records to meet federal, state and college requirements. Oversees the maintenance of files, records, database information and documentation related to Nursing department compliance with Board of Nursing and HLC. Assists with research, gathers information and provides coordination of activities and administrative support of projects, payroll, budgets, class schedules, programs or services; researches, gathers, compiles and reviews data and information in support of Nursing department. May provide training and orientation to other staff and perform other duties as assigned to meet the needs of the business. To best serve the students, division, and college, this position requires a physical presence on campus. Essential Functions 4 5% Schedules, prioritizes, coordinates and performs administrative office support activities related to NA program and student applications; Creates documents, reports, correspondence, and/or other communication materials; review and process documents related to student status, health and safety documents; monitor and track compliance, may assist with student placement in courses. Answer phones, prepare correspondence, reports and faculty meeting minutes; respond to email, fax, etc. 3 5% Compile and maintain confidential student and faculty records to meet federal, state and college requirements. Oversees the maintenance of files, records, database information and documentation related to Nursing department compliance with Board of Nursing and HLC. Use technology and learn to use multiple online platforms/systems, including financial, scheduling, and HR systems, such as FMS, SSRS, HCM, SIS, R25 reservation system, Google Calendar/Drive/Sheets/Slides/Docs, and MS Office, etc. Designs and formats complex documents; composes original documents, correspondence and presentations. 10% Assists with research, gathers information and provides coordination of activities and administrative support of projects, payroll, budgets, class schedules, programs or services; researches, gathers, compiles and reviews data and information in support of Nursing department. 5% May provide training and orientation to other staff. 5% Performs other duties as assigned to support the needs of the business. Minimum Qualifications Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. OR High School Diploma/GED and four (4) years of directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications 1. Bachelor's degree 2. Minimum three years' experience in customer service/public office setting. 3. Two years or more prior experience working in an occupational, educational, or health care setting. 4. Two years or more prior experience maintaining confidential documents and records. 5. Two years or more prior experience processing documents related to payroll and budgets. 6. Two years or more prior experience using office technology/online computer systems including Excel, Word, and Google forms to create and manage data. Special Working Conditions
