Job Opportunity: Assistant Controller

Location: Newark, NJ
Non-Profit Organization | Full-Time | $90,000 per year

Position Overview:

We are seeking a skilled Assistant Controller to oversee financial operations and ensure the accuracy and integrity of financial reporting within a non-profit environment. This role is ideal for someone with experience in financial management, grant budgeting, and internal controls. The Assistant Controllerwill collaborate closely with cross-functional departments, manage accounting processes, and support the organization's financial health and compliance.

Key Responsibilities:
  • Develop and maintain robust internal control systems to safeguard financial resources.

  • Revise and maintain the organization's Finance Procedure Manual to reflect best practices and ensure operational efficiency.

  • Ensure compliance with all applicable accounting standards and financial regulations.

  • Collaborate with key departments to prepare and manage budgets for new funding proposals and grants.

  • Support the management of grant budgets, ensuring alignment with funder guidelines and reporting requirements.

  • Oversee tracking and reporting of grant expenditures, ensuring all expenses are accurately captured and reported.

  • Monitor grant spend rates and report on any significant variances; adjust forecasts as necessary.

  • Serve as the primary point of contact for insurance broker regarding policy renewals.

  • Supervise and mentor two staff members:

  • Assist with the month-end and year-end closing processes to ensure accurate financial records.

  • Participate in the annual audit and work with external auditors to ensure a smooth review process.

  • Investigate discrepancies in financial records, make necessary corrections, and propose improvements to internal processes.

  • Review and ensure proper payroll allocations and position assignments.

  • Support the CFO and Director of Finance/Controller with ad-hoc financial analysis and special projects as needed.

  • Adhere to and promote all organizational policies and procedures.

  • Perform other tasks and duties as assigned to support the finance team.

Qualifications:

Education and Experience:

  • Bachelor's degree in Accounting (Master's degree is a plus).

  • 5+years of progressively responsible experience in financial management, including financial analysis, reporting, and non-profit grant administration.

Skills & Knowledge:

  • Strong understanding of GAAP and relevant regulatory requirements.

  • Experience with complex financial systems and processes.

  • Advanced Excel skills (including pivot tables, VLOOKUP) and proficiency with Microsoft Office Suite.

  • Strong communication skills and attention to detail.

  • Valid driver's license for travel as needed.
