As the Midwifery Administrative Manager, you will play a crucial role in supporting our team with a variety of essential functions, including:
- Work collaboratively with the Midwifery Leadership Team
- Oversee the scheduling and coordination of clinical services
- Manage budgets, oversee personnel recruitment and hiring, and lead program development
- Project management and strategic planning
- Lead and mentor the Midwifery Administrative Officer in crucial tasks such as payroll, staff compliance, and manual updates
In this role, you will leverage your knowledge, skills, and resources to creatively solve administrative challenges, often encountering new and unique problems that require innovative solutions. Your judgment, initiative, and independent research skills will be key as you evaluate options and make impactful recommendations to the Midwifery team. We are looking for an individual with strong interpersonal and relationship management skills who can maintain a high level of professionalism, diplomacy, and confidentiality. This role involves working on highly complex issues where in-depth analysis and evaluation of various factors are essential. Beyond day-to-day administrative coordination, you will have the opportunity to interpret and implement University policies and procedures to enhance work efficiency within the ZSFG Division of the UCSF Department of OB, Gyn and Reproductive Sciences. The Manager will also manage special projects that arise, independently setting and prioritizing goals while employing change management strategies, and will have a significant role in strategic planning for the midwifery service. The ideal candidate will excel in prioritizing work accurately and independently, functioning effectively in ambiguous situations, and managing the stress of competing priorities. You will report directly to the Directors of the Midwifery Service, contributing to the overall success and growth of our team. The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $101,600 - $157,500 (Annual Rate). Department Description The Department of Obstetrics, Gynecology, & Reproductive Sciences (ObGyn & RS) is a major academic department in the School of Medicine committed to providing quality health care services, educating health care providers and investigators, and conducting research to advance knowledge in our field. The Department is nationally recognized for research and training in women's health care specialties. This position is based at the Department's San Francisco General Hospital (SFGH) Division, a large teaching, research, and clinical site. The SFGH Division of Ob-Gyn & RS is home to approximately 40 faculty, 4 non-faculty academics, and 110 staff; fellows, residents, and other trainees; and the Bixby Center for Global Reproductive Health. The Bixby Center leads research and training programs around the world to improve reproductive and sexual health. The SFGH division has an annual budget of $50MM. Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training
- 5+ years in operations, administration, business, human resources, public health, or related roles
- Advanced knowledge of a variety of administrative operational activities which may include clinical scheduling, human resources, space planning, and/or facilities management.
- Advanced knowledge of University computer applications including Microsoft Word, Excel,
- PowerPoint, and Outlook. Experience with or demonstrated ability to quickly learn EPIC (for reporting) AMION and Canva and other UCSF applications as needed.
- Strong ability to use discretion and maintain confidentiality
- Advanced skills in short- and long-term strategic planning analysis and problem solving
- Advanced interpersonal and customer service skills including verbal and written
- communication, active listening, and critical thinking.
- Ability to function highly independently and in situations where there is significant
- ambiguity.
- Extremely strong judgment including ability to recognize when to involve Midwifery leadership.
- Demonstrated background and skills working in the equity and inclusion space
- Strong planning and problem-solving skills, with the ability to summarize key information develop options for resolving issues, and clearly articulate recommendations.
- Demonstrated ability to plan and coordinate complex projects, including tasks, timelines, resources, and budgets
- Knowledge of UCSF purchasing policies and processes.
Preferred Qualifications
- Master's degree in public health/public administration, business, organizational behavior, or related and/or equivalent experience/training
- 3+ years experience conducting administrative operations in an health care environment
- Experience lead/supervisor/manager supervising others and managing performance
- Advanced knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees
- Demonstrated background and skills working in the equity and inclusion space
- Knowledge of UCSF purchasing policies and processes
- Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
