Position Highlights

The College of Health Sciences (COHS) is seeking a Director for Registration and Records as an integral member of its Office of Student Affairs. The COHS includes Clinical Translational Sciences (PhD, MS), Genetic Counseling Graduate Program (MS), Doctor of Physical Therapy (DPT), Physician Assistant (MPAP), Health Science Design, and a developing international medical program. The Director for Registration and Records is responsible for overseeing and managing all student records, registration processes, and compliance with academic policies for all programs within the COHS.

The developing international MD program is a professional program and the DPT and MPAP are in the process of becoming a new Grad/Professional designation which entails full responsibility for all registrar duties listed below, including the interpretation and compliance with student policy, University policy, and international regulations and laws. This position ensures the integrity, accuracy, and security of student academic records while providing leadership in the development of registration and record-keeping systems. This role will collaborate with academic departments, faculty, and administrative offices to manage course scheduling, student enrollment, grade reporting, graduation certification, and the implementation of academic policies and regulations. Additionally, the Director for Registration and Records advises students and faculty on registration procedures, academic requirements, and policy interpretations to promote a smooth academic experience.

The Director will manage the recruitment, training, assessment, and retention of all support staff within the office of Registration and Records and work directly with the Assistant Dean of Academic Affairs & Student Affairs in planning, designing, and implementing new initiatives to continually improve the overall student experience.

Duties & Responsibilities
  • Assume full Registrar duties for all professional or Grad/Professional programs in COHS to include the developing international MD program, DPT, and MPAP and future programs that may fall under this designation.
  • Collaborate with the Main Campus Registrar, understanding all policies and procedures within the COHS programs and having the ability to step in and assist with reporting requests from the COHS leadership team and others within the University. Partner with Main Campus Registrar team to complete reports and troubleshoot individual issues in student records.
  • Work collaboratively within Student Affairs, including Financial Aid and with Admissions and Curricular Affairs. The Director will plan, coordinate, implement, and help analyze strategies, policies, practices and internal controls for ensuring effective administration to support the academic mission.
  • Manage the complex degree completion process for COHS programs including the developing international medical program and maintain accuracy between College IT systems and the University's main system of record.
  • Ensure compliance with institutional, state, and federal regulations regarding student records (e.g., FERPA) as well as the accreditation requirements for the various programs in COHS.
  • Manage student records and ensure their confidentiality and accuracy; prepare and analyze reports on enrollment, student progress, and graduation rates for college leadership.
  • Provide professional, high-level, exceptional student service in a team-based environment.
  • Provide oversight of final grade posting timeline to mitigate late posting and assure that COHS stays within University grading guidelines.
  • Manage the recruitment, training, assessment, and retention of all support staff within the Office of Registration and Records.
  • Create and maintain the College catalog for every Spring and Fall semester, utilizing Excel and Analytics to run reports, compare data and ensure accuracy between the different software systems used to support students.
  • Serve on Curricular subcommittee which is responsible for review of all new COHS course offerings.
  • Plan and execute clinical rotation lotteries in Elentra, leading students to create competitive, well-rounded, and accurate schedules while maintaining a close working relationship with Curricular Affairs to determine capacity and courses that will be offered.
  • Create presentations and provide resources to guide students through the clinical lottery process and ensure they understand how to utilize Elentra and UAccess.
  • Promote and implement national recommendations to establish and maintain academic calendars that meet the needs of the curriculum while staying in compliance with Title IV regulations.
  • Collaborate with program directors and faculty to ensure accurate course scheduling and class rosters.
  • Providing leadership in the development and implementation of student information systems and technologies.
  • Maintain permanent records, archives and grades as well as issue transcripts and diplomas for the developing medical program while upholding FERPA regulations and other institutional policies.
  • Serve as an essential member of the Student Success Team of the developing international MD program to help ensure successful progression of students through the academic program.
  • Manage the residency application process for the developing international medical program ensuring students understand the Electronic Residency Application Service (ERAS) and the document submission requirements through The Educational Commission for Foreign Medical Graduates (ECFMG).

  • Deep understanding of academic policies, student services, and records management.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 5 years of related work experience, including 2 years of managerial experience, or equivalent combination of education and work experience.
Preferred Qualifications

  • Master's Degree.
  • At least seven (7) years of higher education experience.
  • Experience in the Office of the Registrar at a higher education institution.
  • Experience with a Health Sciences College or medical program.
  • Experience in academic advising.
